Job Summary

We are seeking a dependable and customer-focused Administrative Assistant to support a residential HOA community in Escondido, CA. This long term opportunity is ideal for an administrative professional who enjoys helping residents, staying organized, and serving as a central point of contact in a busy community office environment.

The Administrative Assistant will play an important role in daily community operations by supporting homeowners, Board members, vendors, and management with timely communication and professional administrative support. This is a great opportunity to join a team-oriented environment where reliability, positive communication, and excellent customer service are valued. Training will begin as soon as possible, making this a strong fit for someone ready to step into a visible support role and contribute right away.

Key Responsibilities

- Provide friendly, professional customer service by phone, email, and in person.
- Respond to homeowner inquiries in a timely and courteous manner, including returning calls and emails within 24 business hours.
- Serve as a liaison between residents, Board members, vendors, and management.
- Assist with architectural applications, home improvement requests, community policies, and resident information needs.
- Support administrative duties such as correspondence, record keeping, mailing, email, phone coverage, and computer-based tasks.
- Perform routine inspections of community common areas and report findings as needed.

Compensation and Benefits

- Pay: $24.00 to $26.00 per hour.

- Start Date: ASAP to begin training.

Required Qualifications and Skills

- Support day-to-day administrative operations for an HOA community office.
- Manage resident communication through phone, email, and in-person interaction.
- Assist with community documentation, architectural applications, correspondence, and record keeping.
- Conduct routine common area inspections and communicate findings to the appropriate parties.

- Minimum of 1 year of customer service experience, preferably in an office environment.
- Strong telephone etiquette and professional verbal and written communication skills.
- Ability to multitask and stay organized in a fast-paced environment.
- Minimum typing speed of 45 words per minute.
- Basic Microsoft Office skills, including the ability to write a professional business letter.
- Reliable, team-oriented, and dedicated to delivering excellent customer service.
- Ability to perform administrative duties including phone support, computer work, mailing, email, and driving as needed.

Preferred Qualifications

- Property management or HOA experience is highly desired.
- Experience communicating with homeowners, residents, vendors, or community boards.
- Familiarity with architectural review applications, community rules, or common area operations.
