Job Summary

We are seeking a detail-oriented Administrative Assistant for a direct hire opportunity in Burbank, CA with a mission-driven nonprofit charitable organization. This full-time role is ideal for an organized administrative professional with 1-2 years of experience who enjoys supporting leadership, coordinating office operations, assisting with events, and helping teams stay organized and effective.

The Administrative Assistant will work closely with the Executive Director and core staff across administration, finance, operations, human resources, communications, development, and volunteer coordination. Key Responsibilities

- Support day-to-day office operations, including phone coverage, visitor assistance, mail coordination, supply inventory, calendar management, scheduling, errands, database entry, and administrative projects.
- Assist the Executive Director with calendar management, meeting agendas, notetaking, event coordination, and general administrative support.
- Coordinate office space, facility needs, vendors, contractors, in-kind donations, and administrative process improvements.
- Provide support for fundraising, board, community, and donor events, including raffles, silent auctions, correspondence, check-in, refreshments, donation processing, and volunteer coordination.
- Assist with communications-related tasks, including website and intranet updates, flyers, donor thank-you correspondence, social media support, communications analytics, and event materials.
- Support finance, operations, human resources, development, and volunteer management tasks as needed, including recruitment support, onboarding assistance, scheduling, and internal inquiries.

Compensation and Benefits

- Salary range: $37,440 to $47,840 per year.

Required Qualifications and Skills

- Manage office administration, scheduling, calendars, mail, supplies, vendors, and day-to-day operational support.
- Support executive administration, meeting coordination, agendas, notetaking, and event logistics.
- Assist with nonprofit development, donor correspondence, fundraising events, volunteer coordination, and communications support.
- Collaborate with finance, operations, human resources, development, and program teams on administrative projects.

- 1-2 years of administrative, office support, clerical, nonprofit, or related professional experience.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, calendars, and ongoing projects.
- Professional communication skills with the ability to interact effectively with staff, managers, visitors, vendors, volunteers, donors, schools, parents, and community partners.
- Comfortable supporting events, coordinating logistics, handling correspondence, and assisting with administrative details from planning through follow-up.
- Proficiency with general office technology, data entry, email, calendars, documents, and online administrative tools.
- Ability to maintain confidentiality, exercise sound judgment, solve workflow issues, and support a mission-driven team environment.
- Dependable, proactive, service-oriented, and willing to assist across departments as organizational needs evolve.

Preferred Qualifications

- Experience working in a nonprofit, charitable organization, education-focused organization, arts organization, or community-based environment.
- Experience supporting fundraising events, donor communications, volunteer coordination, or board-related activities.
- Familiarity with website updates, intranet tools, social media support, communications analytics, or marketing materials.
- Interest in music education, youth development, community programs, or mission-driven work.
