For a Commercial Real Estate Professional & General Contractor Position Summary The Executive Assistant will provide high-level administrative and operational support to a business leader active in both commercial real estate and general contracting. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive, resourceful, and comfortable handling confidential information. Key Responsibilities • Manage and coordinate the executive’s daily schedule, appointments, and meetings, ensuring efficient use of time. • Organize and maintain digital and physical files related to real estate transactions, contracts, construction projects, and executive communications. • Prepare and organize materials for meetings, presentations, reports, and project updates. • Act as a liaison between the executive and internal/external stakeholders, including clients, vendors, subcontractors, and team members. • Assist with project tracking, coordination, and reporting for both real estate and construction initiatives. • Draft, edit, and proofread correspondence, proposals, and other documents as needed. • Coordinate travel arrangements, event planning, and logistics for site visits, meetings, and conferences. • Track and reconcile expenses, process invoices, and assist with budget preparation and financial reports. • Support contract management, including document assembly, submission, and follow-up for real estate and construction contracts. • Assist with marketing efforts, client communications, and social media updates as needed. • Perform other administrative and operational duties as assigned to ensure smooth business operations. Qualifications • 3+ years of experience as an executive assistant, preferably in real estate, construction, or related industries. • Strong written and verbal communication skills, with a professional and friendly demeanor. • Exceptional organizational, multitasking, and project management abilities. • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfortable with office technology. • Ability to handle confidential information and work independently with minimal supervision. • Bachelor’s degree or equivalent experience preferred; real estate license a plus.
