Salary Range: $18 - $20 per hour based on experience
Schedule: Monday thru Friday, 8am to 4:30pm

Position Summary:
The Executive Operations Assistant provides high-level administrative and operational support to the Vice President of Operations. This role is essential in supporting daily business operations, maintaining operational efficiency, and assisting the Collection Department in achieving performance goals. The ideal candidate is highly organized, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment. This role offers opportunities for professional growth and advancement within operations.
Essential Duties and Responsibilities:
- Provide direct administrative support to the Vice President of Operations
- Manage executive calendars, meetings, appointments, and scheduling
- Prepare and maintain weekly and monthly production reports
- Create reports, presentations, spreadsheets, and operational documents
- Coordinate communication between departments, leadership, vendors, and clients
- Track operational projects, deadlines, and follow-up items
- Assist with special projects and reporting requests from leadership
- Monitor and maintain accounts within business process workflows
- Support process improvement initiatives and operational efficiencies
- Prepare meeting agendas, record meeting notes, and distribute action items
- Update accounts within the system using client payment reports
- Generate and analyze operational performance reports
- Review and verify information related to new and existing client files
- Maintain confidential records and sensitive company information
- Perform additional duties as assigned
Qualifications:
To perform this position successfully, an individual must be able to carry out each essential duty effectively. Requirements include:
- Bachelors degree or equivalent professional experience preferred
- Prior Executive Assistant or administrative support experience preferred
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Access
- Strong computer, internet, and email skills
- Excellent written and verbal communication skills
- Strong organizational skills and attention to detail
- Ability to prioritize tasks and meet multiple deadlines
- Ability to work independently while also collaborating within a team environment
