JOB DESCRIPTION:
Primary Purpose: To provide clerical and financial support for the Transportation Department, ensuring accurate processing of accounts payable/receivable, contracts, and financial records in compliance with district policies, K-12 procedures, and regulatory requirements. This position requires consistent communication with Accounts Payable, vendors, and internal staff to maintain accurate and timely financial operations.
RESPONSIBILITIES:
Major Responsibilities and Duties:
- Greet visitors, answer and direct calls, and provide general clerical support.
- Serve as the primary liaison between Transportation and Accounts Payable.
- Communicate with vendors regarding invoices, payments, and account balances.
- Verify, code, and process all invoices, ensuring accuracy and compliance with district procedures.
- Maintain organized and thorough records of invoices, contracts, and financial documentation.
- Process purchase orders, direct pay requests, and contract payments.
- Monitor and track expenditures, ensuring alignment with budget allocations.
- Reconcile purchase card statements and resolve discrepancies.
- Maintain and track transportation-related contracts (e.g., services, equipment, and vendors).
- Assist with budget preparation, tracking, and end-of-year closeout processes.
- Process budget transfers and maintain accurate financial records.
- Provide financial reports and updates to Transportation leadership as requested.
- Maintain inventory records for office and operational supplies.
- Ensure compliance with district policies, K-12 financial procedures, and audit requirements.
- Record capital outlay expenditures.
- Attend workshops and training for professional development.
- Maintain confidentiality of sensitive financial and personnel information.
- Demonstrate regular and reliable attendance.
- Perform other duties as assigned by the supervisor or designee.
EXPERIENCE: QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or GED
- 18 college hours or three years of clerical/financial experience preferred
- Experience in bookkeeping, accounting, or school finance preferred
- Valid Texas driver's license
- Eligible for coverage under the district's vehicle insurance program
Special Knowledge/Skills:
- Strong organizational skills and attention to detail
- Knowledge of accounts payable/receivable processes
- Familiarity with K-12 financial procedures and compliance requirements
- Ability to manage contracts, invoices, and financial documentation
- Proficiency in Microsoft Office and financial/accounting systems
- Effective communication and interpersonal skills
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
OTHER INFORMATION:
Equipment Used:
Computer, printer, scanner, calculator, telephone (multi-line and cell phone), copier, fax machine, and other standard office equipment.
Working Conditions:
Moderate lifting (15-44 pounds), repetitive hand motions, prolonged computer use, and occasional standing or walking. Work is primarily in an office environment with frequent interaction with staff, vendors, and departments.
