COMPANY DESCRIPTION: Union Rescue Mission (URM) is a 501(c)(3) nonprofit organization located in the Los Angeles Metropolitan Area. We are dedicated to serving men, women, and children experiencing homelessness and providing comprehensive emergency and long-term services to help them escape the dangerous streets of Skid Row. POSITION SUMMARY: This position will provide administrative services to the URM Board of Directors, supporting directors, committee chairs and officers. The goal of this position is to equip all directors with appropriate access to meeting information, assure accurate corporate records, and maintain confidentiality of board matters.

ESSENTIAL FUNCTIONS: The position will work closely with the chair of the governance committee for the first three items listed below.
- Ensure board portal is up to date and complete, with accurate information.
- Serve as an administrator regarding access, organization, version control, and compliance with corporate records policies.
- Set up new directors and maintain all of the users in the board portal.
- Update the board portal for changes in director assignments to committees or officer roles. Maintain staff lists and titles.
- Ensure the board portal document section is comprehensive, up to date, and that access permissions are accurate by role and degree of confidentiality. Documents include but are not limited to organization chart, roster of board resolutions, meetings calendar.
- Support board development.
- Maintain new director check lists; serve as a resource to assist directors on completion of their orientation and supporting logistics as needed, and
- Track director terms and classes, elections and slates.
- Support governance compliance.
- Apply records retention schedule.
- Ensure minutes, materials and resolutions are handled according to policy.
- Update the annual board calendar.
- Serve as staff to the governance committee.
- Set the board up for successful board and committee meetings:
- Coordinate logistics with venue and URM staff,
- Prepare agendas and materials for board chair and committee heads as asked, including checking on necessity of votes and pre-arranging those on the agenda.
- Provide AV and technical support at board meetings, and other on-site support.
- Take online attendance at meetings using board portal tool
- Use confidential AI transcripts to draft meeting minutes, obtain any necessary approvals, schedule for approval, add a copy of approved minutes to the meeting they referenced.
- Assist in developing professional presentations (PowerPoint, Google Slides, etc.) and supporting documents for board meetings and events as needed.
- Maintain board tasks/action items, check status as helpful with directors and staff.
- Serve as point of contact for directors on administrative matters.
- Conduct other tasks and projects assigned by the Board Chair.

EXPERIENCE, EDUCATION AND LICENSURES:
- Bachelors degree (preferred) or equivalent combination of education and experience.
- 2- 4 years of relevant administrative experience, ideally supporting boards, executives, or governance functions.
- Experience managing a board management system (i.e. Govenda), or similar platform, a plus.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Excellent organizational and time-management skills with the ability to handle multiple priorities.
- Strong written and verbal communication skills, including professional correspondence and presentation materials.
- Advanced proficiency with Microsoft Office, calendar tools (Outlook/Google Calendar), and video conferencing platforms (Zoom, Teams).
- Experience managing shared documents, portals, or databases.
- High level of discretion, confidentiality, and professionalism.
- Tech-savviness: Quick learner of new software/tools.
- Reliable internet and home office setup for remote work, plus ability to travel locally for 46 in-person meetings per year.
- Attention to detail and proactive problem-solving (especially for AV and logistics).
- Excellent customer service skills
- Ability to work in a team environment.
