Position Summary The Administrative Manager is a multifaceted role responsible for overseeing donor and marketing CRM systems, supporting payroll and finance operations, providing executive administrative support, and helping maintain efficient day-to-day operations across the organization. Donor Management & CRM Administration Serve as primary administrator for CRM and donor systems including Bloomerang and marketing automation tools, overseeing one experienced employee who does the daily CRM work and donor response letters Maintain and optimize donor databases, ensuring data accuracy and integrity Support donor communications, segmentation, reporting, and campaign tracking Create reports and dashboards on fundraising metrics, donor trends, and campaign performance Support fundraising activities, event registrations, and donor stewardship initiatives Supervise donor operations support functions Payroll & Finance Support Process weekly TimeNet hour tracking and payroll Serve as the first point of contact for payroll-related employee questions Coordinate with our Payroll provider and the Controller regarding payroll and administrative matters Executive Administrative Support Manage calendars, meetings, travel arrangements, and expense tracking for Executive Leadership Provide executive administrative support to both Executive Directors as needed. Handle confidential correspondence and sensitive organizational documents Coordinate onboarding, offboarding, trainings, and internal staff logistics Maintain digital and physical filing systems including archive files Help create reports and special projects as needed, such as a safety manual or policy and procedure manual. General Operations Support operational systems, documentation, and internal process improvements Assist with nonprofit compliance and donor data privacy practices Coordinate event logistics and special projects Manage online merchandise fulfillment and Shopify inventory and reconcile inventory at the end of year. Coordinate repairs, vendors, and contractor scheduling as needed Basic office oversight including answering phones as needed, opening and closing office.
