Personal Assistant to Estate Manager

We are seeking a highly organized, discreet, and proactive Personal Assistant to support the Estate Manager in the daily operations of a private estate. This position requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.

The ideal candidate is professional, resourceful, adaptable, and thrives on keeping people, schedules, and projects running smoothly.
Schedule Flexibility is required.

Shifts may include:

Morning: 8:00 AM 4:30 PM

Afternoon: 12:30 PM 9:00 PM

Overnight: 9:00 PM 5:30 AM

Travel between local residences and worksites may be required.

Qualifications:

Bachelor's degree or equivalent combination of education and experience.

Valid driver's license and reliable transportation.

Advanced proficiency with Microsoft Office, particularly Outlook and calendar management.

Strong understanding of office procedures, business correspondence, and administrative systems.

Ability to handle confidential and sensitive information professionally.

Physical Requirements.
This role may require:

Sitting, standing, or walking for extended periods.

Occasional bending and lifting of light materials.

Driving between residences, appointments, and worksites.

Ability to perform routine administrative and operational tasks in residential and office environments.

Key Responsibilities
Working under the direction of the Estate Manager, you will:

Manage calendars, appointments, and scheduling for the Estate Manager and Principal.

Coordinate personal, professional, and medical appointments while resolving scheduling conflicts.

Track tasks, commitments, and deadlines to ensure follow-through on all priorities.

Support daily administrative operations and maintain organized records and documentation.

Coordinate vendors, contractors, and service providers for estate maintenance and projects.

Assist with domestic and international travel planning, including itineraries, transportation, and logistics.

Coordinate with aircraft crews, pilots, and vessel captains as needed.

Ensure travel-related inventories, supplies, and accommodations are prepared and maintained.

Assist family members and associates with scheduling, shopping, and expense tracking.

Support weekly estate inventory processes.

Maintain and manage highly confidential information with the utmost discretion.
Prepare meeting materials, coordinate meeting logistics, and attend events when required.

Build positive working relationships with staff, vendors, contractors, and external partners.
Assist with special projects and additional responsibilities as needed.
