Admin Assistant (Leads & Scheduling) - Part Time

$20$22/hr to start $23$25/hr after 90 days (based on performance)

EMPLOYMENT TYPE
Part-time (approx. 30 hrs/week to start; potential to grow to 40 hrs/week)

LOCATION
Remote-friendly (Los Angeles preferred). Occasional on-site learning/networking in LA is a plus.

Chef Book is a premium private chef + catering company based in Los Angeles. We deliver warm, high-touch hospitality experiences for busy families and special events.

WHY WE'RE HIRING
We're growing and leads/messages are increasing across email, Instagram DMs, website form submissions, and appointment requestsespecially on event-heavy weekends. We need a reliable, organized person to be our "home base": respond quickly, keep leads warm, and book calls so prospects feel heard.

THE ROLE
You'll be our Client Experience & Admin Coordinator"air traffic control" for inbound inquiries and scheduling. Your goal is simple: no lead left behind.

WHAT SUCCESS LOOKS LIKE (first 6090 days)
-Inquiries are acknowledged quickly and consistently (including weekends)
-Calls are booked smoothly into MonWed blocks
-No missed form submissions, appointments, or messages
-Leads tracker is accurate and always up to date with next steps
-Inbox + Google Drive are noticeably cleaner and easier for the team to use

RESPONSIBILITIES
-Monitor inbound channels daily: email inbox, Instagram DMs, website/contact form submissions, appointment requests
-Respond to inquiries in a warm, premium "delight" tone and set expectations
-Book calls primarily MonWed in organized blocks (45-min calls + 15-min breaks, starting around 8/9am)
-Keep a clean pipeline: Leads Unconfirmed Projects Confirmed Projects (with notes + next steps)
-Daily follow-up management
-Organize/clean up the email inbox
-Help keep Google Drive organized

MUST-HAVES
-Strong written communication (fast, clear, warm)
-Organized, reliable, and responsiveespecially on weekends
-Comfortable with Google Workspace (Drive/Docs/Sheets) and Google Calendar
-Coachable + flexible

NICE-TO-HAVES
-Hospitality/event experience and mindset
-Experience with HoneyBook or similar CRM/project management tools
-Ability to attend approx. 2 events/month in LA (not servingjust learning and capturing notes/contacts)

TOOLS YOU'LL USE
-Google Mail, Google Calendar, Google Drive/Docs/Sheets, Instagram DMs, Squarespace form submissions, simple trackers
