Job Summary
We are seeking a professional and detail-oriented Operations Assistant for a contract/temporary opportunity in Livermore, CA. This Administrative Support role is ideal for a dependable front office professional with strong receptionist, clerical, and customer service skills who enjoys supporting daily operations in a mission-driven real estate and property management environment.
As an Operations Assistant, you will serve as a key first point of contact for visitors, callers, clients, residents, staff, and community partners. This position offers the opportunity to work with supportive leadership, collaborate with a team-focused administrative department, and contribute to an organization that values confidentiality, professionalism, public service, and positive community engagement.
The ideal candidate is organized, courteous, adaptable, and comfortable balancing reception duties, document handling, communications, clerical support, and event assistance in a busy office setting.
Key Responsibilities
- Answer multi-line phone calls professionally, route calls, take messages, respond to routine inquiries, and provide general information such as addresses, directions, applications, and department contacts.
- Greet visitors, determine the nature of their visit, follow security and access procedures, announce guests to appropriate staff, and maintain visitor logs.
- Receive, open, sort, log, and distribute incoming mail, faxes, internal communications, forms, and other documents while maintaining confidentiality.
- Prepare, type, format, revise, proofread, and file correspondence, reports, forms, statistical tables, and other administrative materials using office software and equipment.
- Coordinate timely routing and return of documents requiring executive signature, ensuring copies are maintained according to office procedures.
- Support administrative operations, resident engagement efforts, and public or resident events, including creating flyers, drafting email communications, setting up event spaces, and coordinating with outside agencies.
Compensation and Benefits
- Pay rate: $22.00 to $24.00 per hour.

Required Qualifications and Skills
- Provide front office reception and administrative support for the Administration Department.
- Manage incoming phone, in-person, internet, fax, mail, and internal communications.
- Prepare, proofread, route, and maintain administrative documents, correspondence, forms, and confidential files.
- Support office operations, visitor management, resident engagement activities, and event coordination.
- High school diploma, GED, or equivalent required.
- 3 to 5 years of administrative, receptionist, clerical, or office support experience preferred based on the experience level for this role.
- Strong knowledge of general office practices, business English, spelling, punctuation, basic arithmetic, filing, and administrative procedures.
- Proficiency using computers, office software, word processing tools, and general office equipment.
- Ability to answer multi-line phones and interact with the public in a courteous, professional, and helpful manner.
- Strong verbal and written communication skills with the ability to follow moderately complex written and oral instructions.
- Ability to work independently on routine duties, prioritize tasks, meet deadlines, and maintain accuracy with limited supervision.
- Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
- Experience working effectively with individuals from diverse backgrounds.
- Must maintain a professional appearance, punctuality, and reliable attendance.
- Must possess a valid drivers license and maintain a good driving record.
- Must be able to pass employment drug screening and criminal background check.
- Must be able to perform general office physical requirements, including sitting or standing for extended periods and occasional bending, stooping, pushing, pulling, or lifting related to files, records, and office supplies.
Preferred Qualifications
- Two or more years of training and progressive experience in reception, clerical work, secretarial support, or an equivalent combination of education, training, and experience.
- Experience supporting a public agency, housing program, real estate organization, property management office, or community service environment.
- Experience creating flyers, email communications, event materials, or other resident or public engagement materials.
