ABOUT THE ROLE:
We are seeking an organized, proactive, and people-focused Office Manager to keep the daily operations of our growing firm running smoothly. We are looking for a person who broadly supports the elements that make our office thrive, creating a professional, welcoming environment for clients and staff alike, supporting administrative needs and client relationships.

This role owns office logistics, facilities, vendor relationships, employee support, and the oversight of the systems that hold it all together. We are looking for someone who enjoys creating order and supporting a team.

This is a hybrid role.

RESPONSIBILITIES:
Office & Administration
Run the day-to-day administrative operations of the office.
Keep supplies, equipment, and facilities stocked and functioning.
Handle incoming mail, deliveries, and general office communications.
Maintain office procedures and administrative records.

Vendors & Facilities
Serve as the primary contact for vendors and service providers (IT, equipment, cleaning, and other contractors, etc.).
Interface with building managers to schedule maintenance, repairs, and service appointments, and resolve facility issues as they arise.
Track contracts, subscriptions, and renewal dates.

Technology Coordination
Coordinate technology and equipment requests with outside IT providers.
Triage and help resolve day-to-day equipment issues to minimize disruption.

Employee Support & Culture
Manage onboarding logistics for new hires, including workspace setup and equipment.
Coordinate offboarding logistics.
Maintain personnel records and required acknowledgments.

Scheduling & Projects
Oversee calendar management for multi-attorney calendar spanning California.
Assist with travel arrangements and event logistics.
Support attorneys and leadership on administrative projects as assigned.

WE ARE LOOKING FOR:
Required
3+ years in office management, administrative management, or a similar role.
Strong organization and a sharp eye for detail.
Excellent communication and interpersonal skills.
Ability to juggle multiple priorities calmly and reliably.
Flexibility and ability to pivot around chanding client priorities
A professional demeanor and genuine customer-service mindset.
Comfort with Microsoft Office, Slack, Clio, and cloud-based tools.
Comfort working both collaboratively on a team and independently.

Preferred
Experience in a law firm or other professional-services environment.
Familiarity with practice-management or billing software (e.g., Clio).

COMPENSATION:
Salary of $95,000$120,000 per year, commensurate with experience.
Flexible vacation policy.
40 hours of paid sick time annually.
Health insurance (including dental and vision), effective the first month after your start date.
