Job Title: Project Administrator
Job Description
The Project Administrator will play a pivotal role in supporting project operations by managing bids, subcontractor communications, and administrative tasks. This position requires a reliable and motivated individual to assist in various project-related activities and ensure smooth execution.
Responsibilities
Assist with all bids to Blue Book and track them effectively.
Send out bid requests to vendors as needed.
Organize all subcontractor quotes and save bid documents in Dropbox.
Monitor subcontractor master contracts and execute Contracts or POs in Foundation.
Enter job-specific budgetary data into Foundation.
Send out job start-up emails to all staff.
Acquire prevailing wage information and affidavits upon job completion.
Issue POs to all subcontractors, following PMs direction for project-specific contracts.
Process daily job reports and submit them to customers when required.
Manage paperwork for new subcontractor vendors, including contractors license, W-9, insurance, and master subcontract.
Monitor dispatched jobs through Foundation for ESA, Goodwill, and Sound Transit, ensuring proper updates and closures.
Accept all ESA jobs through their website and ensure accurate communication with dispatch.
Provide estimates to ESA, load descriptions and billing information, and track invoices on the AR sheet.
Monitor Sound Transit and Goodwill websites, load information, and close out jobs once completed.
Handle all service billing, including online submissions and emailing invoices to customers.
Prepare reports from Foundation for service billings and manage A/R lien waivers.
Issue credits, rebillings, and manage initial collections for service customers.
Essential Skills
Experience in construction administration and project administration.
Proficiency in Microsoft Office and document control.
Strong customer service and administrative support skills.
Competence in data entry and bid requests handling.

Pay and Benefits
The pay range for this position is $32.00 - $40.00/hr.
