Position Overview

The Building Administrative Assistant serves as a vital member of the school community, supporting the daily operations of a K-2 elementary building. This role is often the first point of contact for students, families, staff, and visitors, and plays a key role in creating a welcoming, organized, and student-centered environment. The Administrative Assistant works closely with the building principal and staff to ensure efficient office operations while supporting the unique developmental needs of early elementary learners.

Responsibilities

Serve as the primary point of contact for the school office, greeting visitors, answering phones, and responding to inquiries in a professional and friendly manner

Provide clerical and administrative support to the building principal and staff

Maintain accurate student records, attendance, and enrollment data in accordance with district and state requirements

Monitor daily attendance, follow up on absences, and communicate with families as needed

Assist with student health needs, including basic first aid and coordination with the school nurse

Manage office communications including newsletters, emails, announcements, and family correspondence

Support scheduling of meetings, conferences, and building events

Maintain confidentiality of student, staff, and family information

Coordinate building logistics such as transportation changes, dismissal procedures, and visitor check-in systems

Assist with ordering and maintaining office and school supplies

Support substitute teacher coordination and staff absences as needed

Provide a calm, supportive presence for young students who may need assistance throughout the day

Collaborate with staff to support a positive and welcoming school climate

Qualifications

Required:

High school diploma or equivalent

Previous clerical or administrative experience

Strong organizational, communication, and interpersonal skills

Proficiency with office technology, including word processing, spreadsheets, and student information systems

Ability to multitask and manage frequent interruptions in a fast-paced environment

Demonstrated ability to maintain confidentiality

Preferred:

Experience working in a school setting, particularly at the elementary level

Familiarity with student information systems and attendance tracking

First aid/CPR certification

Experience working with young children and families

Physical Demands

Ability to sit and work at a desk for extended periods

Frequent standing, walking, and movement throughout the building

Ability to lift up to 25 pounds (e.g., office supplies, student materials)

Occasional need to assist young students, which may include bending, kneeling, or reaching

Working Conditions

School office environment within a K-2 elementary building

Frequent interaction with students, staff, families, and visitors

Fast-paced setting with regular interruptions and changing priorities

May require flexibility to support building needs, including occasional extended hours for events or peak times
