Position Summary
The Administrative Assistant assists the department in maintaining the daily operations of the department from an ancillary operations standpoint.
Department Summary
Wound care deals with the management of injuries and damage to skin and underlying tissues, including pressure ulcers, surgical wounds, burns, diabetic foot ulcers, venous ulcers, and other chronic conditions.
Qualifications
- High School Diploma or equivalent.
- Basic knowledge of healthcare and medical terminology.
Skills
- Ability to type at least 35 wpm.
- Ability to work calmly and accurately in stressful situations.
- Professional manner and appearance.
- Basic word processing and data entry skills.
- Able to work independently and accurately with attention to detail.
- Excellent interpersonal and communications skills; strong organizational and problem-solving skills, ability to stimulate new ideas.
- Ability to maintain confidential information.
Responsibilities & Expectations
- Comprehensive knowledge of the following systems: Cerner, Wound Expert, AHIQA, Compliance Checker, RIS, CPI, Microsoft Office Suite programs.
- Registration of all new patients in Cerner.
- Schedule patient appointments in Wound Expert.
- Update training manuals to comply with changes in registration processes.
- Maintain registration handbooks, original copies of paperwork, and stat book for registration processes.
- Maintain spreadsheets for Tissue Logs & other department specific spreadsheets.
- Maintain the stock of all tissue substitutes utilized in the department e.g. Apligraf, Theraskin, and Puraply.
- Verify schedules, make charts, pull charts for next day clinic.
- Charge posting of all Wound Care patient visits.
- Provide excellent communication to Unit Director of registration concerns.
- Exemplify excellent customer service skills including four habits model.
- Use HRO tools and tones.
- Pre- authorization paperwork completion for Insurances, BWC, and any other services that require additional documentation.
- Facilitate payroll exceptions in the Kronos system.
- Serves as a role model and educational resource for the department.
- Adhere to JCAHO readiness and performs department audits.
- Follow all hospital and department policies.
- Other duties as assigned.
Working Conditions
- Day shift coverage 8:00am-4:30pm; may need to work full-time to assist with vacation coverage.
- No weekends/holidays.
- Subject to frequent interruptions and changes in priority of duties throughout the day.
- Lunches and breaks are coordinated with staff to maintain adequate coverage.
- Continual involvement with patients and their families.
- Ability to assist patients in wheelchairs and transport if necessary.
Hazardous Exposure Category
Category III - Includes tasks that involve no exposure to blood, body fluids, or tissues and Category I tasks are not a condition of employment. The normal work routine involves no exposure to blood; body fluids or tissues (although situations can be imagined or hypothesized under which anyone anywhere might encounter potential exposure to body fluids.) Persons who perform these duties are not called upon as part of their employment to perform or assist in emergency care or first aid or to be potentially exposed in some other way.
