Job Summary

We are seeking a highly organized and compassionate Office Coordinator to support a fast-paced medical office with Ethos Health Group. This role serves as the first point of contact for patients and is responsible for delivering exceptional customer service while managing administrative and scheduling functions. The ideal candidate excels in a fast-paced, high-volume environment and is dedicated to delivering an exceptional patient experience. They are adept at multitasking, collaborating across teams, and has a servant leadership mindset.

Key Responsibilities
  • Collaborate with leadership to implement operational strategies that enhance efficiency and overall performance.

  • Streamline office processes to improve productivity and patient satisfaction.

  • Manage patient experience initiatives and monitor key performance indicators (KPIs)

  • Ensure compliance with industry regulations, company policies, and HIPAA standards

  • Greet patients warmly, creating a professional and welcoming atmosphere

  • Answer and manage high-volume phone calls; schedule, confirm, and reschedule appointments

  • Verify patient demographics, insurance information, and required documentation

  • Check patients in and out efficiently while maintaining accuracy and confidentiality

  • Maintain and update patient records in the electronic medical record (EMR) system

  • Coordinate with clinical staff to ensure smooth patient flow and minimize wait times

  • Process co-pays, payments, and issue receipts as needed

  • Handle incoming/outgoing mail, faxes, and medical correspondence

  • Maintain office organization, cleanliness, and supply inventory

  • Referrals, authorizations, and medical documentation

  • Provide general administrative support in a fast-paced, multitasking, fostering a positive and productive work environment

Qualifications
  • High school diploma or equivalent required; additional healthcare administration training preferred

  • A minimum of 3 years' experience in related field. Preferably in Healthcare or Personal Injury.

  • Experience in a high-volume patient setting strongly preferred

  • Familiarity with EMR/EHR systems

  • Strong communication and organizational skills

  • Professional demeanor with excellent customer service skills

Preferred Skills
  • Experience with patient scheduling systems and referral coordination

  • Proficiency with Google Workspace, including calendar management, email communication, and document collaboration

  • Ability to manage multiple priorities with accuracy under pressure

  • Bilingual
