The duties include but are not limited to:
Answers phones, takes messages and screens callers/visitors in accordance with predetermined policy.
Serves as liaison between division heads and other departments and staff.
Provides information and assists in resolving complaints in an efficient, courteous and timely manner.
Maintains Executive Director of Teaching, Learning and Assessment's (TLA) calendar of appointments, activities, meeting and various events; coordinates meetings with other departments, the public, and outside agencies, provides background information as needed, and briefed on meetings in order to know what developments have occurred in matters of concern to the Executive Director of TLA.
Takes and transcribes dictation of various types, including correspondence, reports, notices, and recommendations from shorthand notes or other mediums.
Provides administrative support as necessary, including drafting and typing memos and other correspondence, responds to information requests, processes written/oral requests for information and reviews and verifies data and requests.
Obtains, gathers, and organizes pertinent data as needed and puts it into usable form; copies, collates, and disseminates information.
Reads, proofs, and edits various types of correspondence, data, and other materials making editorial comments and discussing content with author.
Prepares board agenda items and prepares other correspondence to communicate project/work status of functional activities and designs, types and revises special reports, charts and forms.
Performs special projects, bookkeeping tasks, reports and complex duties as required.
Maintains a regular filing system, as well as a set of locked confidential files as needed.
Orders and maintains supplies as needed and prepares requisitions when requested.
Performs other duties as required.
QUALIFICATIONS:
A minimum of five (5) years of previous experience as executive secretary is preferred.
Three (3) or more years in clerical position is preferred.
The ability to take shorthand or ability to take dictation is preferred.
Must be computer knowledgeable with expertise in Windows, Excel, Word, WordPerfect, Access, Lotus or other comparable or similar software.
Must be knowledgeable of desktop publishing and office management.
Must be well groomed, with the ability to get along with people.
Must be able to meet the public and work with the officials of public agencies as required.
Confidentiality, tact, and diplomacy must be strong characteristics.
Overtime may be required.

Salary Range: From/ToBeginning pay - $51,214.00

**Applicants selected for classified positions must undergo (or have undergone) an ABI/FBI criminal history background check (fingerprinting administered through sites selected and approved by the MCPSS and State of Alabama Education Department) and be declared suitable and fit to teach under state law. Applicants selected must also pass a drug-screening test via forms provided by Human Resources during the selection process.**
