This position is primarily responsible for administering a variety of general office activities including clerical, bookkeeping, office support, and basic human resources administration. We are a Great Place to Work-Certified™ company with a nationally recognized workplace culture. 

What You Will Do: 

  • Clerical duties include answering and responding to phone calls, scheduling appointments, writing emails, scanning, printing, saving documents, and basic filing.  
  • Customer invoicing and assisting with customer billing questions. 
  • Processing customer credit card payments, posting customer checks, credit cards, and ACH payments.
  • Processing deposits and expense reports.
  • Researching, data entry, document compilation as needed, in support of Audit, Budget, Open Enrollment, and other ritual processes.
  • Basic reporting related to accounts receivable.
  • Assisting with overdue customer account processes. 
  • Responding to customer chargebacks and disputes consistent with merchant deadlines. 
  • Ordering of breakroom and office supplies.
  • Assisting with planning company meals and events. 
  • Off-site visits for the post office, shipping, and supplies as needed. 
  • Assisting with benefits and HR duties as needed, and serving as a backup for Accounts Payable and Payroll.  
  • Works with vendors related to facilities and office management as needed. 

What You Will Bring:

  • Some college plus one to three years experience in an office environment. 
  • Polished communication skills, both written and verbal, and interpersonal skills.
  • Strong computer skills with proficiency in spreadsheet, word-processing, and email/ calendar applications. Ability to learn new and proprietary software packages.
  • Ability to provide strong customer service to the staff at all levels of the company.
  • Quickbooks and experience is a plus. 
  • Effective planning and organization skills to effectively manage multiple tasks/projects at any given time.  Ability to manage time and meet commitments and deadlines. 
  • Creative and strategic thinker with the ability to set priorities based on company needs, preferences, and develop solutions to company challenges. 
  • Flexibility, adaptability, and the ability to effectively manage through change and transition. 
  • Proactive and collaborative working style. 
  • Ability to handle confidential and sensitive information with poise, tact, and diplomacy. 
  • Ability to stay abreast of trends and assimilate new job-related information appropriately. 
  • Ability to follow established protocols, processes, and close attention to detail.
