Job Description


Job Title:

Janitorial Administrative Assistant - Life Sciences

Location:

Portsmouth, NH | Onsite

Key Responsibilities:

  • Provide administrative and clerical support to the janitorial management team.
  • Maintain and update cleaning schedules, logs, and documentation required for GMP and non-GMP areas .
  • Track and document employee training records, including onboarding, safety, and GMP procedures.
  • Assist with timekeeping, payroll processing, and personnel record maintenance for the janitorial team.
  • Coordinate with vendors for supply ordering, delivery tracking, and invoice processing.
  • Prepare reports, spreadsheets, and summaries related to cleaning performance metrics, audit readiness, and resource planning.
  • Support planning for special projects, shutdown cleaning, and changeover activities.
  • Serve as liaison between janitorial supervisors, facilities, EHS, and quality teams to ensure timely communication and issue resolution.
  • Assist in the preparation for audits by ensuring all cleaning documentation is complete, accurate, and audit-ready.
  • Perform general office tasks such as filing, data entry, and meeting coordination.

Qualifications:

  • High school diploma or equivalent required; Associate's degree or administrative certification preferred.
  • Minimum 2 years of administrative or clerical experience; experience in a GMP-regulated or life science facility strongly preferred.
  • Excellent attention to detail, organization, and time management skills.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with CMMS (eg SAP PM, iOffice, Corrigo), document control, or training systems is a plus.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Strong interpersonal and communication skills; bilingual in English/Spanish a plus.
