This is an exciting time to work for Amarillo College! We are seeking our next Administrative Assistant II - Wellness Services who will be all-in on our mission and will play a crucial role in fostering a welcoming and supportive environment for students seeking assistance at the Advocacy and Resource Center and Counseling Center. This dynamic position involves providing essential clerical support, coordinating wellness initiatives, efficiently managing clinic operations, and ensuring a positive experience through direct customer interaction.
EDUCATION :
Required: High school diploma or GED.
Preferred: Associates or Bachelors degree in mental health related field.
EXPERIENCE :
Required: Two (2) or more years of experience in a secretarial, clerical, or clinical environment.
Preferred: Three (3) years of experience in a secretarial, clerical, or clinical environment related to higher education and/or healthcare.
- Provide clerical support for the Advocacy and Resource Center (ARC) and Counseling Center.
- Serve as the initial point of contact for the ARC and Counseling Center by creating a welcoming environment where students, faculty/staff, and visitors feel comfortable.
- Serve as a liaison between the Advocacy and Resource Center, Counseling Center, and outside parties regarding student wellness services.
- Manage daily operations in office, including opening and closing.
- Maintain up-to-date schedule and notes in electronic health records.
- Receive, return, and coordinate telephone, email, fax, and secure messaging communications.
- Create documents, letters, promotional materials, social media, and forms related to operations.
- Assist students and staff with scheduling and checking-in for appointments.
- Conduct outreach to students with identified wellness needs.
- Coordinate student traffic within the office and manage high-volume activity in the waiting room.
- Consult with students, parents, faculty, staff, and administrators regarding student issues and vulnerable students.
- Conduct brief screenings to determine student needs and identify risk factors.
- Facilitate referrals by utilizing community and campus resources.
- Obtain release forms to consult with other medical professional or support systems in client's life.
- Engage in continuing education and professional development activities related to the performance of job functions and maintenance of skills in one's professional specialty area.
- Comply with all college, state and local procedures, rules and regulations.
- Perform other duties as assigned.

Salary: Amarillo College follows a lag pay strategy, with starting offers typically between the minimum and midpoint of the pay grade, rarely reaching the maximum to support long-term growth within each position. Pay grade 7 Amarillo College Pay Grades (salary is determined by Human Resources based on education, work experience and internal comparisons).
Physical Demands: While performing the duties of this job, the employee is frequently required to travel between offices and buildings, and requires the ability to lift, carry, push, pull and/or maneuver office supplies as needed.
Working Conditions: Must be willing to work a flexible schedule (days, nights, weekends, holidays, and varying events if necessary.)
Work Environment: This position operates in a professional office environment, routinely uses standard office equipment (i.e. computers, phones, copy and fax machines, filing cabinets) and is in a high traffic area with continual interruptions. Software commonly used includes Microsoft Office, Colleague, and various other educational applications. Work may also be performed outside of the office and with little to no supervision.
