Job Summary
A reputable construction firm providing full-service commercial and industrial project support is seeking a Project Administrative Coordinator to join its Houston, TX team. This direct hire opportunity is ideal for an organized administrative professional with construction office experience who enjoys supporting project teams, coordinating documentation, and keeping critical paperwork moving accurately and on time.
The Project Administrative Coordinator will play an important role in supporting project operations, bid activity, change orders, subcontract documentation, insurance tracking, and general office administration. Key Responsibilities
- Provide administrative and clerical support including phone reception, mail distribution, scanning, document handling, records management, and data entry.
- Support project teams by preparing, proofreading, tracking, and updating subcontracts, purchase orders, field transfers, bid proposals, and related documentation.
- Track the status of Change Orders, submit and compile COs, and assist with compiling, submitting, and distributing Change Orders.
- Coordinate bid and project paperwork by distributing plans, receiving bids, following up on required documents, and maintaining organized files and records.
- Monitor subcontract status, insurance requirements, bid questions, job documentation, and related follow-up items to help projects stay organized and compliant.
- Distribute invoices and assist with general project administration to support smooth day-to-day construction operations.

Required Qualifications and Skills
- 3 to 5 years of administrative, clerical, project coordination, or construction office support experience.
- Strong document management, proofreading, data entry, and records management skills.
- Ability to track multiple deadlines, follow up on outstanding items, and maintain accurate project status updates.
- Familiarity with construction terminology, subcontract documents, purchase orders, change orders, and bid support processes.
- Strong communication skills with the ability to interact professionally with internal teams, subcontractors, vendors, and project stakeholders.
- High attention to detail, strong organizational skills, and the ability to prioritize in a busy office environment.
- Proficiency with standard office tools and the ability to learn construction-related administrative processes and systems.
Preferred Qualifications
- Previous experience supporting commercial, industrial, residential, or office construction projects.
- Experience verifying insurance requirements for bidding projects.
- Experience preparing or proofreading subcontracts, bid proposals, purchase orders, and change order documentation.
- Background working in a construction office, project management support team, or contractor environment.
