SHBA Capital is a startup boutique financial services firm. We work directly with our clients and a network of financial institution partners, and we move at the pace of a small, hands-on team. Two principals lead the firm's day-to-day work, and this role is built around making them more effective.
The Role
We're hiring an Administrative Assistant to serve as the operational backbone of a small, fast-moving practice. You'll be the first voice clients hear, the second set of hands on every email thread, and the person who keeps two principals' calendars, contacts, and follow-ups from slipping. If you are organized, discreet, and energized by being the person who makes things happen behind the scenes, this is your seat.
What You'll Do
Own the phones. Place outbound calls to banks, custodians, brokerages, and other financial institutions on behalf of the principals navigating phone trees, holding for representatives, documenting every conversation, and following up until items close out.
Front the firm with clients. Answer inbound calls and emails with warmth and polish, take detailed messages, and route urgent items to Terry or Tyler with full context.
Run the calendar. Schedule client and partner calls across two principals' calendars, send confirmations and reminders, manage rescheduling, and keep the week ahead clear and uncluttered.
Coordinate the inbox. Triage and organize email threads, flag what needs attention, draft routine responses for principal review, and ensure nothing falls through the cracks.
Maintain records. Keep digital and physical filing systems organized, perform accurate data entry, and proofread documents before they go out the door.
Support firm operations. Handle basic bookkeeping in QuickBooks (or similar), order supplies, maintain office equipment, and stay on top of the steady stream of small admin tasks that keep a financial services firm running.
Be air traffic control. Across all of the above, prioritize ruthlessly and maintain the discretion and professionalism financial services clients expect.
What We're Looking For
2+ years in an administrative, executive assistant, or front-desk role; time at a financial advisory, RIA, brokerage, family office, bank, or law firm is a strong plus
Comfort and persistence on the phone, including with corporate phone trees, call queues, and institutional back-office representatives
Strong written communication and proofreading; you spot the typo before it goes out
Fluent in Microsoft Office (Word, Excel, Outlook) and Google Workspace; familiar with CRM and calendar tools; QuickBooks (or willingness to learn quickly) a plus
Tight organizational instincts multiple calendars, multiple inboxes, multiple deadlines, no dropped balls
Absolute discretion with confidential client information
Bilingual a plus
