Location: Novant Health Matthews Medical Center - Matthews, NC
Schedule: Full-Time - Monday - Friday, 8:00 AM-5:00 PM
Novant Health is seeking a detail-oriented and proactive Administrative Specialist II to support departmental operations through high-level administrative and clerical tasks. Whether working independently or as part of a team, you’ll play a vital role in ensuring smooth day-to-day functions and serve as a trusted resource to staff in the Med/Surg Department.
What You’ll Do
You will provide clerical, payroll, and data support for Directors of Nursing, Nurse Managers, Clinical Unit Leaders, and Clinical Shift Managers, contributing to smooth daily operations.
Key responsibilities include:
- Managing payroll, timekeeping, and scheduling processes with a high degree of accuracy
- Supporting human resource coordination and maintaining employee records
- Assisting leaders with data analysis, reporting, and problemsolving related to staffing and timekeeping
- Supporting education tracking and general office administration
- Maintaining strict confidentiality of employee and operational information
- Providing excellent customer service to leaders and staff
- Working independently with minimal direct supervision while handling multiple priorities
What we're looking for:
- Education : High School Diploma or GED, required.
- Education in basic office procedures.
- Experience : Two years of administrative support experience, required.
- Administrative support experience, preferred.
- Additional Skills (required): Ability to effectively communicate with physicians and hospital staff. Ability to use a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases; Ability to successfully complete generic and department-specific skills validation and competency testing. Communication: Creates an environment that supports and respects diversity to promote creative problem solving. Communicates the value of activities within the organization and community to gain cooperation and collaborative partnership.
- Customer Service: Holds staff accountable for customer service standards and ensures service recovery when needed. Ensures staff responds to customers in a timely manner.

- Digital Fluency: Proficiency with Microsoft Office 365, specifically Excel, Word, Teams, and PowerPoint.
