GENERAL DESCRIPTION
The Administrative Assistant will provide administrative support to the CERRC program through clerical duties including filing, charting, organizing, copying, mailing, data entry and other related clerical duties in conjunction with the workflow of the main office.
ESSENTIAL FUNCTIONS
- Functions as one of the contact persons for receiving client progress inquiries from designated third-party referral sources and responding to them in a timely manner, consistent with confidentiality requirements.
- Data entry and management to track units of service and other relevant data.
- Determine and maintain Drug Medi-Cal eligibility records
- CALOMS treatment reporting
- Create client files for new clients.
- Print client documentation from database to ensure all files are updated.
- Process the closing of client files.
- Manage client records.
- Answer and manage incoming phone calls, sign-in logs, and other intake documents in a timely, friendly and accurate manner.
- Welcome visitors and help meet their needs by directing them to the correct staff person, resources, service, room, or provider.
- Keep the reception area clean, inviting, and organized.
- Transfer calls to the proper employee or voice mail or take clear written messages if needed.
- Retrieve and follow up with phone messages from the general voice mailbox.
- Provide clerical duties including filing, data entry, charting, organizing, copying, and mailing.
- Document and submit statistical data and progress notes that accurately reflects all services provided and all client contacts in accordance with applicable standards and complete internal ECS data tracking systems entries by due dates as assigned.
- Maintain supply of internal forms by making copies as needed.
- Date stamp, sort and distribute mail as appropriate to staff and clients.
- Manage program inventory and supplies
- Participate as an active member of the program team, encouraging and building mutual trust, respect, and cooperation among team members and clients.
- Assist with drug testing urinalysis specimen collections and screening as required.
- Performs other duties as assigned.
EDUCATION & EXPERIENCE
- High school diploma, GED required. BA preferred.
- Some vocational training or job-related course work preferred.
- Competent in using personal computer-based software programs to facilitate information flow
- One-year previous work-related skill, knowledge, or experience is preferred.
- Bilingual Spanish preferred.
Monday through Friday, 8:30 am to 5:00 pm.
