Job Summary

We are seeking an experienced Office Administrator / Bookkeeper for a direct hire opportunity in Buena Park, CA. This role is ideal for a detail-oriented accounting and administrative professional who enjoys managing day-to-day bookkeeping functions while also supporting general office operations.

The Office Administrator / Bookkeeper will play an important role in keeping financial records accurate, vendor and customer accounts current, and office processes running smoothly. Key Responsibilities

- Prepare customer invoices, process vendor invoices, record customer payments, and maintain accurate accounting records in QuickBooks.
- Manage accounts receivable activity, including payment terms, credit memos, credit references, collections, and customer credit holds.
- Perform expense posting, sales tax reporting, monthly account reconciliations, bill payments, and related bookkeeping tasks.
- Assist with bi-weekly payroll reports, payroll journal entries, audits, and required financial reporting.
- Support daily office administration, including calendars, phone coverage, office supply inventory, and general administrative coordination.
- Assist HR with employee onboarding, medical insurance administration, and 401(k) administration support.

Compensation and Benefits

- Salary Range: $52,000 to $56,500 per year.
- Job Type: Direct Hire.

Required Qualifications and Skills

- Manage customer invoicing, vendor invoice processing, payment posting, and general bookkeeping in QuickBooks.
- Support accounts receivable, collections, credit holds, and customer account maintenance.
- Complete monthly reconciliations, sales tax reporting, expense posting, and bill payment processing.
- Provide office administrative support, including calendars, phones, supplies, onboarding assistance, and benefits administration support.

- 3-5 years of previous related bookkeeping, office administration, accounting support, or similar experience.
- Proficiency with QuickBooks and Microsoft Office Suite.
- Strong understanding of invoicing, accounts payable, accounts receivable, reconciliations, and general ledger support.
- Strong organizational skills with excellent attention to detail and accuracy.
- Ability to prioritize tasks, manage deadlines, and work independently.
- Professional communication, customer service, and follow-up skills.
- Ability to handle confidential information with discretion.

Preferred Qualifications

- Experience supporting accounting functions in a manufacturing, distribution, or similar business environment.
- Experience assisting with payroll reports, payroll journal entries, audits, or benefits administration.
- Familiarity with sales tax reporting, customer credit references, and collection cycles.
