We are seeking a highly organized Administrative Assistant with strong Microsoft Office skills to support our construction companys job site office with administrative tasks including data entry, daily reports, taking of meeting minutes and answering phones. This role is ideal for someone who is detail-oriented and can manage multiple tasks.
Key Responsibilities
Administrative Support
Keep track of subcontractors onsite and their hours onsite, classifications and equipment / deliveries.
Answering phones and taking messages.
Perform routine clerical duties setting up new files, maintaining and organization of department files, reproducing documents, drawings, etc. for bid process and design production.
Submittal assistance, material/equipment pricing, and procurement investigations
Take meeting minutes
Greeting and escorting visitors in and out of the jobsite
Processing mail
Maintain jobsite office clean and organized
Running errands
Getting invoices coded/approved and returned to the main office
Organize and maintain credit card purchase receipts to be submitted to main office monthly.
Support management with reporting, scheduling, and clerical tasks as needed
Payroll
Collect, review, and enter employee timecard data to timesheets and submit to payroll department weekly
Qualifications
High Scholl diploma required
Must have a current drivers license and vehicle insurance
Must be able to pass a background check
Strong organizational skills and data entry accuracy
Strong proficiency with Microsoft Office and Adobe Acrobat
Ability to manage multiple priorities and meet deadlines.
Effective communications skills and ability to work well with a team
Job Type: Full-time
Pay: $23.00 to $25.00 per hour
Expected hours: 30 to 40 per week (7am to 4pm M-Th 7am-1:30pm F)
