General Description of DutiesUnder the direct supervision of the Superintendent/Business Manager/Designee, the purpose of the position is to perform district-based duties associated with the office secretarial functions and provide administrative support to the Superintendent/Business Manager/Designee. Employees in this position must function at an experienced secretarial level with superior technology skills. The Accounts Payable Clerk is responsible for performing a range of accounting and clerical tasks related to the accounts payable function. This generally includes receiving, processing, and verifying invoices, tracking and recording purchase orders, and processing payments. Employee also serves as backup to other clerical positions in Central Office.Specific Duties and ResponsibilitiesOrganizes and processes the distribution of interoffice mail, regular mail.Prepares memos, correspondence, reports, and documents using the computer.Responsible for all Accounts Payable to include but not limited to:Creates and maintains vendor files, including preparation of 1099s and entering W-9 forms.Checks merchandise and purchase order information.Enters, posts invoices and processes reports.Processes Cash Requirement Report for School Committee approval of bills and reconciles to the payment preview reports prior to processing checks.Prints checks and processes for distribution.Prints, distributes, and files purchase orders and corresponding reports.Follows up on purchase order statuses and reconciles invoices with purchase orders in preparation of payment.Assists in annual audit.Analyzes various ledger accounts and creates and posts necessary journal entries.Processes breakdown of expenses accrued from Hockey Program and bills partnered district (North Providence) accordingly.Reconciles RIPAY reports and books revenue.Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database and software programs.Performs any additional duties as per the Superintendent/Business Manager/Designee.

Job Requirements
Minimum of four (4) years related work experience preferred.Accurate typing skills.Strong mathematical and analytical skills.Ability to read, analyze, and interpret general accounting applications, procedures or governmental regulations.Proficient computer skills, including Microsoft Office with the ability to learn new applications.Prior system administration of financial software preferred.Effective oral and written communication and interpersonal skills.Ability to exhibit a high level of confidentiality and integrity.
