Job Summary

We are seeking a highly organized and proactive Administrative Assistant for a direct hire opportunity in Burbank, CA. This full-time role supports the Executive Director and broader team within a mission-driven nonprofit environment focused on expanding access to quality music education.

The Administrative Assistant will play an important role in daily office operations, executive support, communications, event coordination, and cross-functional administrative projects. Key Responsibilities

- Support daily office operations, including scheduling, vendor coordination, records, supplies, and general administrative workflow.
- Assist the Executive Director with calendar management, meeting preparation, follow-ups, and internal coordination.
- Provide administrative support across operations, finance, human resources, development, and program-related activities.
- Help coordinate fundraising events, board meetings, community events, and related logistics.
- Support communications, donor correspondence, volunteer coordination, and general stakeholder follow-up.
- Adapt to evolving organizational needs while maintaining accuracy, professionalism, and strong attention to detail.

Compensation and Benefits

- Salary range: DOE
- Full-time, non-exempt position.
- Location: Burbank, CA 91505.
- 10 days of PTO during the first 2 years.
- 1-week winter break.
- 15 paid national holidays.

Required Qualifications and Skills

- Support executive scheduling, meeting coordination, and administrative follow-up.
- Coordinate office operations, vendor communication, and daily administrative workflow.
- Assist with fundraising, board, community, donor, and volunteer-related activities.
- Provide cross-functional administrative support across operations, finance, HR, and development.

- 3 to 5 years of administrative, office support, executive support, or related clerical experience.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Professional communication skills, including written correspondence and verbal follow-up.
- Proficiency with general office technology, calendars, email, documents, spreadsheets, and administrative systems.
- High attention to detail, discretion, reliability, and a service-oriented approach.
- Ability to work effectively in a collaborative nonprofit or mission-driven environment.

Preferred Qualifications

- Experience supporting an Executive Director, senior leader, or nonprofit leadership team.
- Prior experience in a nonprofit, charitable organization, education, arts, music, or community-focused environment.
- Experience coordinating events, board meetings, fundraising activities, donor communications, or volunteer programs.
- Comfort supporting multiple departments and adjusting responsibilities based on organizational needs.
