We are seeking a dedicated and highly organized Administrative Assistant. This role is essential to ensuring the smooth operation of daily office functions and providing exceptional support to staff and clients alike. Duties

Manage front desk operations, including greeting visitors and handling inquiries with professionalism and courtesy.
Operate multi-line phone systems, efficiently routing calls and maintaining excellent phone etiquette.
Maintain accurate data entry, filing systems, and document management using Microsoft Office, Google Workspace, and other relevant software.
Support calendar management and scheduling for executives or team members, ensuring timely appointments and meetings.
Assist with bookkeeping tasks, including invoicing, expense tracking, and basic QuickBooks data entry.
Provide customer support by promptly and professionally addressing client questions via phone or email.
Perform clerical duties including proofreading documents, managing correspondence, and organizing office supplies.
Support office management tasks such as organizing files, maintaining office equipment, and coordinating supply orders.
Handle sensitive information with confidentiality while ensuring compliance with company policies.
Contribute to a positive office environment through effective communication and teamwork.
Coordinate travel arrangements.

Skills

Proven experience in office administration or clerical roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Familiarity with QuickBooks accounting software and basic bookkeeping practices.
Excellent written and verbal communication skills; bilingual abilities are a plus.
Strong time management skills to prioritize tasks efficiently in a fast-paced environment.
Demonstrated ability to handle multi-line phone systems and maintain professional phone etiquette.
Experience in customer service or customer support roles with a focus on client satisfaction.
Attention to detail for proofreading documents and data entry accuracy.
