Location: Dallas Office - Dallas, TX 75201
Schedule: Monday-Friday, 8:30 AM-5:30 PM (Fully In-Office)
Compensation: $25 / Hour W2 ; $52k annual conversion
Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our Dallas office on a temporary-to-hire basis. This role provides critical administrative support to multiple teams and principals, ensuring efficient day-to-day operations while maintaining exceptional client service. The ideal candidate is proactive, adaptable, and thrives in a fast-paced, deadline-driven professional environment.
Key Responsibilities
Administrative & Client Support
Maintain and update client information in Oracle and other internal systems
Set up new client records and upload Statements of Work (SOWs)
Manage and maintain client data within Agiloft
Assist with the preparation and processing of engagement letters as needed
Upload Master Service Agreements (MSAs) and SOWs into Agiloft for both Dallas and Fort Worth offices
Process administrative requests and provide backup support to team members as needed
Document Management
Scan, organize, and maintain electronic records
Manage DocuSign workflows and document processing
Upload e-filing acceptance documents into UserVerse
Prepare and mail taxpayer copies to clients
Handle certified mailings and related tracking
Executive & Office Support
Serve as backup support for the front desk and reception area
Prepare and submit expense reports for Principals
Coordinate travel arrangements and reservations for Principals as needed
Provide general administrative support to leadership and staff
Qualifications
Education
High School Diploma, GED, or equivalent required
Bachelor's degree preferred
Experience
Minimum of three (3) years of administrative support experience required
Experience within a professional services environment preferred
Technical Skills
Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Experience with Adobe Acrobat required
Experience with Oracle preferred
Experience with PeopleSoft or similar database systems is a plus

Strong organizational skills with exceptional attention to detail
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Excellent written and verbal communication skills, including strong grammar, spelling, and punctuation
Demonstrated ability to interact professionally with executives, clients, and colleagues at all levels
Superior customer service skills with sound judgment, discretion, and diplomacy
Proven ability to handle highly confidential and sensitive information
Strong problem-solving skills and a continuous improvement mindset

Pay Details: $20.00 to $25.00 per hour
