We are seeking an experienced Project Administrator for a direct hire opportunity with a well-established general contractor in Fremont, CA. The Project Administrator will provide critical administrative and coordination support to construction project teams, helping keep documentation, schedules, communication, procurement, and project reporting organized from project start through completion. Key Responsibilities

- Organize and maintain project documentation, including contracts, change orders, drawings, specifications, RFIs, submittals, permits, licenses, and project files.
- Serve as a key communication point for project teams, clients, subcontractors, vendors, regulatory agencies, and other stakeholders.
- Support project scheduling by tracking timelines, milestones, procurement schedules, material deliveries, meetings, site visits, and inspections.
- Assist with contract administration, subcontractor and vendor agreements, invoices, change orders, expense tracking, and project budget records.
- Prepare project status reports, meeting documentation, schedules, risk updates, and other project materials for project managers and leadership.
- Support quality control, compliance, safety documentation, inspections, audits, resource tracking, and subcontractor coordination.

Required Qualifications and Skills

- Coordinate project administration for construction projects from start-up through closeout.
- Manage construction documentation, project records, RFIs, submittals, change orders, contracts, and related project communications.
- Support project schedules, procurement tracking, vendor coordination, subcontractor communication, and project reporting.
- Assist with financial tracking, compliance documentation, inspections, safety meetings, and issue resolution.

- 6 to 8 years of project administrative experience in the construction industry with a general contractor.
- High school diploma or equivalent required.
- Strong understanding of construction processes, project documentation, contracts, and project management workflows.
- Experience coordinating with project managers, subcontractors, vendors, clients, and internal teams.
- Ability to track project expenses, invoices, change orders, budgets, schedules, and milestones accurately.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- High attention to detail with strong problem-solving and follow-up abilities.
- Ability to prioritize competing deadlines in a fast-paced construction environment.

Preferred Qualifications

- Degree in Construction Management, Engineering, or a related field.
- Experience supporting commercial, office, residential, or design/build construction projects.
- Familiarity with construction project management systems and digital document control platforms.
- Prior experience supporting procurement, bid coordination, subcontractor onboarding, and project closeout.
