Position Summary
The Administrative Support Specialist provides comprehensive administrative and operational support to the School of Nursing Dean's Office. The position supports high-level administrative functions, faculty and student initiatives, accreditation and compliance activities, and School-wide events. This role supplements the work of the Executive Assistant to the Dean and other staff and ensures continuity of operations during periods of increased workload, absences, or peak activity.
Minimum Qualifications
HIGH SCHOOL DIPLOMA OR EQUIVALENCY AND ONE YEAR OF RELATED OFFICE EXPERIENCE; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE.
Additional Required Certifications, Licensures, and Certificates Preferred Qualifications
- Bachelor's degree and 2-3 years of administrative support experience, particularly in higher education.

Essential Tasks
Provide administrative coordination and logistical support for School of Nursing events and activities, such as:
- New Faculty Orientation.
- Faculty development activities.
- Faculty, staff, and student recognition events and award ceremonies.
- Graduation and pinning ceremonies.
- Accreditation visits and site reviews (CCNE, COE, COA, NCBON).
- White Coat Ceremonies (twice annually).
- Advisory Board meetings (three times per year).
- Faculty Assembly and Organization meetings.
- 60th Anniversary and other milestone celebrations.
- Search committee meetings and candidate visits.
- Consultant meetings and special initiatives (e.g., NCCHEN, Rural Health Innovation Grant convenings, UNC System-related events).

Faculty Credentialing, Accreditation, and Compliance Support
Essential Tasks
- Assist with faculty credentialing processes, including document collection, organization, and secure filing.
- Support preparation of accreditation and regulatory reports.
- Maintain organized documentation to support compliance and site visits.

- Provide coverage for the Office of the Dean reception area.
- Manage and update office directories and contact lists.
- Coordinate parking management for reserved spaces.
- Manage room reservations and meeting logistics.
- Provide cross-trained support for travel, procurement, Chrome River, and related administrative systems.
- Maintain office storage areas, pantries, and supply inventory.

Facilities, Communications, and Centralized Contact Management
Essential Tasks
- Provide building and simulation lab tours for internal and external stakeholders, such as faculty candidates, donors, partners, and visitors.
- Support School of Nursing mailroom functions.
- Manage the School's general email inbox and phone line.

- Assist with administrative and event support related to student success initiatives.
- Help track and organize information related to nursing interest students.

- Cross-train with multiple staff members to ensure continuity of operations during vacations, extended illness, or other staff absences.
- Work closely with the Executive Assistant to the Dean to ensure seamless operations, shared coverage, and effective prioritization of Dean's Office responsibilities.
