Position Overview
The HVAC Administrative Assistant / Office Manager plays a key role in coordinating service calls, supporting technicians, and ensuring smooth day-to-day operations. This is a fast-paced position that requires strong communication, organization, and multitasking skills.
Key Responsibilities
Answer incoming calls and schedule HVAC service calls and installations
Dispatch technicians and manage daily job schedules
Communicate with customers regarding appointments, updates, and invoices
Create and send invoices, estimates, and work orders
Maintain customer records and job files
Order parts and coordinate with suppliers
Assist with permits, warranties, and equipment registrations
Support basic bookkeeping tasks (invoicing, payments, tracking)
Keep the office organized and running efficiently
Qualifications
Experience in administrative, dispatch, or office management roles
Strong communication and customer service skills
Highly organized and able to multitask in a fast-paced environment
Proficient in Microsoft Office (Word, Excel, Outlook)
Ability to learn HVAC software and scheduling systems
Preferred Experience (Big Plus)
HVAC, construction, or service industry experience
Dispatching technicians or managing service calls
Familiarity with software like ServiceTitan, Housecall Pro, or QuickBooks
Basic knowledge of HVAC terminology
Compensation & Benefits
$22 $28 per hour (based on experience)
$45,000 $60,000 per year equivalent
Performance-based bonuses available
