Travel & Accommodation Management
Coordinate and book domestic and international travel, including flights, hotels, car rentals, and related logistics.
Maintain, renew, and establish agreements with travel service providers (airlines, hotels, car rental agencies) to ensure cost-effective and reliable options.
Generate weekly reports on travel expenses and engineer travel locations.
Monitor travel usage and costs, identifying trends or opportunities for optimization.

Guest Services & Visitor Support
Manage all aspects of guest and visitor stays, serving as the primary point of contact for questions and daily support.
Coordinate training and onboarding support for domestic and international visitors.
Monitor, restock, and maintain corporate apartments; schedule and manage cleaning services as needed.
Issue visitor badges and ensure proper access credentials are provided and tracked.
Provide ongoing assistance to guests to ensure a positive and professional experience.

Office Operations & Facilities Support
Monitor office supplies to support daily operations.
Obtain and evaluate estimates for office operational needs and services.
Maintain and support the office phone system.
Monitor general office needs and coordinate with vendors and service providers as required.

Reporting & Documentation
Generate routine and ad-hoc operational reports, including travel, location, and cost reporting.
Create, track, and maintain internal office forms, ensuring all documentation remains current and accurate.
Update and distribute office policy documents as needed to ensure organizational compliance and awareness.

Administrative & Executive Support
Provide administrative assistance to executive management as needed, including coordination, documentation, and special projects.
Assist Human Resources and Finance with administrative and operational tasks as required.
Maintain and update employee contact information to ensure accuracy.
Maintain an active notary commission and provide notary services as required.
