Executive Assistant to the President and Board of Trustees

SYA is looking for a highly organized and detail-oriented Executive Assistant to provide support to the SYA President and Board of Trustees. Interested candidates must apply by June 17 for consideration. The Executive Assistant to the President and Board of Trustees is a part-time, hourly non-exempt position reporting directly to the President based in person at SYA's home office in North Andover, Massachusetts. This role averages approximately 15-20 hours per week with a partially flexible schedule. Compensation ranges from $20-$25 per hour based on experience. KEY RESPONSIBILITIES Support the President Provide comprehensive administrative support to the President, including calendar management, meeting coordination and travel arrangements (including transport to airports, rental cars and hotels) Prepare detailed itineraries for each trip, including contact phone numbers, addresses and directions for all appointments and hotels. Communicate the President's whereabouts and contact information to home office staff and sites abroad Prepare briefing materials, agendas, presentations and correspondence in advance of meetings Draft, edit and proofread documents and communications with a high degree of accuracy and professionalism Provide support for key activities, such as the NEASC reaccreditation process, the administration of SYA's Member School contingent, or other projects and responsibilities as assigned by the President Support the Board of Trustees Maintain close contact and excellent communication with the board of trustees, especially the chair of the board and the chairs of the individual trustee committees. Duties include: Produce, maintain and distribute the roster of board members, trustee contact information, bios, committee membership and the Trustee Orientation Handbook Update policy documents and by-laws as necessary if the board votes to change them Ensure all trustees sign the conflict-of-interest statement each year at the fall meeting Obtain Chair and Vice Chair signatures for any/all documentation required by campuses abroad Plan and organize the biannual Trustee meeting weekends, including: Communicate meeting dates, venue and supplemental activities with the trustees. Assist trustees with ground transportation and lodging Compile, prepare and distribute the board book, which contains the agenda, board list, bylaws, previous minutes (pending approval), reports, charts and other background information Attend meetings to take notes, manage the meeting tech, coordinate catering needs, and assist with planning social activities for the trustee meeting weekends Support the President in recognizing trustees at the end of their terms QUALIFICATIONS 3+ years of administrative support experience, ideally in an executive or senior-level capacity Proficiency in Microsoft, Google products, and calendar management tools Familiarity with virtual meeting platforms (Zoom, Slack, Teams) and document management systems Experience with email marketing services and mail merges Excellent verbal, written, and interpersonal skills Professional demeanor and ability to interact with Board, staff, and clients effectively Ability to draft professional correspondence and reports Ability to work independently Strong time management and prioritization abilities Detail-oriented with a high level of accuracy Ability to organize and plan events as needed Ability to handle sensitive information with integrity Resourceful and proactive in anticipating needs and resolving issues
