Job Description and Duties
Area Vehicle Storage Clerk. Collect, review for accuracy, and process CHP 180, Vehicle Storage forms, which include vehicle storage, vehicle impounds, stolen vehicles, recovered vehicles, and locations of vehicles. Complies and completes data entry of CHP 180 information into the California Electronic Record Tracking (CERT) or Microsoft Access database. Run the California Law Enforcement Telecommunications System (CLETS) to verify if information is correct, such as license plates, the registered owner, and addresses. Mail notices to the registered and legal owners. Contact owners of recovered vehicles by mail and/or telephone. Assign felony numbers, if applicable, in the Microsoft Excel database and file as required. Enter information from the CHP 180 forms into the Management Information System and CERT. Audit CHP 180 forms to ensure all information was accurately entered. Send second party correction notices through CERT for towed, impounded, or stolen vehicles by typing a "change needed" message in CERT or notifying dispatch to correct CERT, CLETS, or the National Law Enforcement Telecommunications System. Answers telephone inquiries from citizens, allied agencies, and other CHP Areas, including dispatch, regarding the CHP 180 process and/or vehicles. Process insurance requests for CHP 180's and write up receipts if money is received. Maintain manuals for the Department of Justice, CLETS, and CHP 180 desk.
Review and enter incoming subpoenas (Criminal, Traffic, Duces Tecum, Trial by Declaration, Pitches Motion) for the Area office, which includes receiving subpoenas by mail, court liaison, facsimile machine, and at the front counter and determining if the officer is available for the requested date by reviewing the monthly schedule, annual vacation schedule, and training schedule. Distribute all subpoenas to their respective subpoena team folders for distribution by the shift sergeant; and file subpoenas by appearance date in the subpoena files. If the officer is unavailable, notify the designated attorney. Notify officers of court cancellations and changes to scheduled appearances. Answer inquiries pertaining to court appearances and related matters. Maintain telephone contact with various courts and District Attorney offices to ensure expeditious scheduling of court appearances and resolution of schedule conflicts. Review all subpoenas for accuracy in requesting officers or other related information, including Trials by Written Declaration. Process requests for continuances of court trials. Upon return of the signed/served subpoenas, the service date is entered into the computer program and filed appropriately. Utilize Microsoft Access program to enter subpoena data into Court log daily. Track/post Court log weekly.
Prepare monthly reports. Prepare and transmit monthly Uniformed Crime Report. Using personal computer, type various documents as assigned, including but not limited to correspondence for stolen vehicles and CHP 180 purge letters.
Schedule Vehicle Identification Numbers (VIN) and Salvage appointments, as needed.
Answer telephone calls relating to towed/stored vehicles and general public call inquires.
Back up to other Office Assistant (Typing) employees, as assigned by the Office Services Supervisor II (General).
