External applicants will only be considered, after all qualified internal candidates have been deemed unsuccessful.*** St. Louis Community College is seeking a secretary for the Communication, Design, and Creative Arts Division. The Secretary provides efficient secretarial support, reception, and communication services to ensure the smooth operation of the Arts and Communications Department at the Florissant Valley campus. Primary Duties Performed Types and edits departmental materials Prepares necessary pay documents and forms Maintains appointment and meeting calendars Answers telephone calls, screens and refers calls, and takes messages; provides information as appropriate Composes and types correspondence with or without notes Assembles various records to prepare periodic reports Completes necessary forms to order and pay for items; maintains inventory of forms and supplies Maintains a filing system, including confidential files Provides quality customer service to both internal and external customers Interfaces with students, faculty, staff, and external agencies to exchange information, interpret policies, and assist in resolving complaints Prepares and maintains a highly complex budget and financial information while resolving any discrepancies Compiles payroll and contact information for full-time and part-time employees; takes, transcribes, and distributes minutes from various management and faculty meetings; tracks responsibilities such as grades, purchases, scheduling, and training compliance Organizes special events, which involves preparing agenda items, designing programs, overseeing registration, and scheduling facilities and resources Additional duties as assigned Knowledge: * Must possess general office skills, experience with office equipment (such as personal computers and copiers), and familiarity with various computer softwar Skills: * Proficient in Microsoft Office programs, including Word, Excel, Outlook, and Teams * Strong organizational skills and attention to detail * Excellent communication skills, both verbal and written * Required to have regular and timely attendance Abilities: * Ability to provide exceptional customer service and maintain a pleasant attitude * Ability to work effectively with diverse populations and in team settings * Strong multitasking skills, attention to detail, and ability to meet deadlines * Ability to travel to other campuses as needed Qualifications/Experience High school diploma or equivalent with 0 - 1 years of related experience Must pass a skills assessment at the basic level of proficiency in Microsoft Office Preferred: At least 2 years of experience as a secretary or administrative assistant or an associate's degree Experience in a community college office setting Working Conditions Generally works in an office environment Physical Requirements: Negligible
