DISTRICT OFFICE SECRETARY

TERMS OF EMPLOYMENT

Hours: 8 hrs./day; 260 days/yr. 12 months

Pay: Category 3

Supervisor: Executive Director of Student Services

QUALIFICATIONS:

  1. Must have a high school diploma or equivalent; AA degree preferred.

  2. Must have excellent communication, interpersonal, planning/organization, and problem-solving skills.

  3. Must be able to pass the following tests:

Applied Math

Microsoft Excel

Microsoft Word

Typing at a rate of 50 net wpm

  1. Must be able to demonstrate proficiency in the use of Skyward, FastTrack and Absence Management within twenty (20) workdays.

  2. Must have proven record of observing confidentiality.

  3. Must have a proven record of punctuality, dependability, and consistent attendance.

  4. Must have strong secretarial skills.

  5. Must be able to use correct written and oral language in all communications.

  6. Experience maintaining detailed records.

  7. Ability to work flexible schedule to meet the needs of the district.

  8. General experience in a school district that would provide a familiarity with school district procedures preferred.

ESSENTIAL JOB FUNCTIONS:

  1. Serve as district receptionist; greet and direct all visitors in a professional and welcoming manner.

  2. Serve as a confidential administrative assistant to the Executive Director of Student Services.

  3. Organize, set priorities, and meet inflexible deadlines under considerable pressure.

  4. Maintain a positive, productive, and cooperative relationship with all district staff and colleagues.

  5. Develop effective customer-friendly information that is available to employees and the public to ensure clarity with regard to schedules, processes, resolution of concerns, and response questions.

  6. Independently perform a variety of complex and detailed tasks quickly with a high degree of accuracy.

  7. Protect confidential information consistent with district ethical guidelines.

  8. Serve as district coordinator of Safe Schools online training program.

  9. Process and monitor volunteer paperwork including issuing ID badges and updating volunteer list

  10. Prepare and process purchase orders.

  11. Support Employee Services department staff with tasks such as entering/verifying clock hours, tracking, proofreading, processing and filing completed paperwork, etc.

  12. Process and track tuition reimbursement and professional development

  13. Schedule discipline and boundary exception appeal hearings for Student Services.

  14. Collect, file and track data for Student Services.

  15. Process, track and communicate student enrollment such as Choice Transfers, In-District Transfers and Overflow Students.

  16. Manage student summer enrollment paperwork and communication with families as needed.

  17. Secretarial support for all student involved activities (handouts, notices, etc.).

  18. Prepare and distribute materials related to Booster Tickets.

  19. Collect and record Isolation and Restraint reports. Send monthly report to the special ed department.

  20. Send updated Kindergarten/TTK enrollment numbers to Communications department, Teaching and Learning, and other departments as needed.

  21. Send out summer matrix to buildings/departments.

  22. Maintain regular attendance.

  23. Perform other job-related duties as requested by supervisor and other District Administrators.
