Hours: 8 Hours per Day, 201 Days per Year

This position will begin with the 2026-2027 school year. New hires may attend paid training days in August.
JOB DESCRIPTION
The secretary in this position will assist students and staff, provide secretarial support, including word processing, file maintenance, calendar scheduling, and school records; work with assistant principal/athletic director for maintaining ASB records and requests; provide a friendly, caring, invitational and safe atmosphere in the secretarial office and reception area; assist in the health room; and perform other job-related duties as assigned.

CONDITIONS OF EMPLOYMENT
- High School graduate or GED equivalent.
- Must present transcripts of highest level of education within thirty (30) days of hire.
- Must be able to perform the essential functions of the position with or without reasonable accommodation.
- Must be able to meet the Physical Demands of the position.
- Must pass a basic skills test.
- Completion of Safe Schools Web Based Training within thirty (30) days of hire and yearly thereafter.
- Must pass a background check, which includes employee paid fingerprinting.
QUALIFICATIONS REQUIRED
- Evidence of the ability to maintain an ASB (Associated Student Body) budget, with knowledge of accounting procedures and regulations.
- Ability to maintain composure and objectivity in crisis situations.
- Recommendations that confirm dependability, flexibility, loyalty and self-starting capabilities.
- Must uphold board policies and follow administrative procedures.
- Must take all necessary and reasonable precautions to protect students, equipment, materials and facilities.
- Must attend in-service trainings or other meetings as required, as well as attend any training as directed by management.
- Evidence of ability to assess and correct issues involving safety.
- Evidence of ability to establish and maintain a tactful, cooperative and effective relationship with students, parents, staff, fellow employees and management.
- Evidence of ability to approach assigned work in a professional manner, working toward the common goal of teamwork, pride in service delivery and continuous improvement.
- Must demonstrate sufficient command of the English language to communicate verbally and in writing with students, parents, district staff members and other concerned people regarding all aspects of their job related activities.
- Must be able to use basic computer programs to maintain records, enter timecard information and read and respond to email.
- Previous experience and/or training operating general office equipment such as: computer, copy machine, 10 key adding machine, and fax machine.
- Knowledge of computer programs such as Word, Excel, etc. Ability to function within various software programs.
- Strong verbal and written communication skills; working knowledge of correct grammar, spelling and English usage.
- Must be willing to participate in district training as it becomes available for varied computer programs and other needs.
QUALIFICATIONS PREFERRED
- Bilingual: English/Spanish
- Successful middle school experience in secretarial/clerical or school office setting.
- Ability to multi-task, prioritize, meet deadlines, balance daily office responsibilities while incurring regular interruptions.
- Ability to independently learn new operations, procedures, processes and use of new equipment and technology.
- Ability to show patience and acceptance of young adolescents.
- Possess current first aid card or willingness to acquire one.
JOB RESPONSIBILITIES
The secretary in this position will:
- Assist students, staff, and parents as needed.
- Provide secretarial support, including word processing, data base management, file maintenance, calendar scheduling and records control.
- Coordinate and/or directly provide for the maintenance, accounting and regular reporting of school records.
- Respond to requests for and distribution of information.
- Responsible for production and/or distribution of school correspondence and meeting records.
- Maintain confidentially and practice discretion regarding district matters and records.
- Maintain ASB (Associated Student Body) budget and process purchase orders; collect and receipt money for ASB and other fee programs.
- Work with the assistant principal/athletic director as needed.
- Assist with student attendance procedures and records keeping.
- Assist in arranging conferences for teachers and administrators upon request.
- Organize and maintain student cumulative files.
- Answer the telephone, take and deliver messages.
- Greet and assist all visitors and students in a warm and caring manner.
- Assist with health room responsibilities.
- Type letters and maintain files for a variety of school related needs.
- Assist with building security, contact police and fire department as needed.
- Receive telephone calls and schedule appointments for the building administrators as needed.
- Prepare all correspondence/forms for the principal/assistant principals.
- Use computer to complete reports, surveys and other required materials for the building administrators.
- Work cooperatively with food service staff to process lunch application forms as required.
- Maintain main office calendar.
- Prepare awards and certificates for student recognition.
- Provide a friendly, caring, invitational and safe atmosphere in the secretarial office and reception area for staff, students, parents, substitutes and visitors.
- Perform all duties of the position within the scope of Kennewick School District policies and procedures, including regular attendance and punctuality.
- Perform other related duties and responsibilities as assigned by the administrators.

- Lifting: The employee must be able to lift or move up to 18-26 pounds; must also be able to lift overhead. The employee may be required to physically move quickly in an emergency or while performing student supervision duties.
