We are a fast-paced, cutting-edge semiconductor company based in the heart of Silicon Valley. ROHM Semiconductor is looking for a proactive, organized, and highly discreet Office Manager/Executive Administrative Assistant to anchor our business operations and support our sales, engineering, executive and senior management team members.

SUMMARY

In this dual-focused role, you will be the backbone of our Santa Clara headquarters. You will seamlessly balance high-level executive support with day-to-day office management. The ideal candidate is a self-starter who operates with high integrity, can handle confidential information with impeccable judgement, and thrives in the dynamic semiconductor industry. This position reports to the VP of Legal and Operations. Company works model is hybrid, 4 days in-office and 1 day work from home.

DUTIES AND RESPONSIBILITIES

  • Provide high-level, day-to-day administrative support to sales, engineering and senior management
  • Manage and coordinate complex executive calendars, meeting schedules, and domestic/international travel arrangements.
  • Prepare, edit, and format confidential documents, contracts, reports, and presentations for leadership
  • Act as a trusted liaison between the senior management, internal departments including our Japan HQ counterparts, and external partners and vendors
  • Serve as the primary point of contact for daily business operations at our Santa Clara facility plus help support other office site's business as needed
  • Manage office supply inventory, proactively ordering and restocking office and breakroom supplies
  • Coordinate and facilitate on-site and virtual sales, company, and departmental meetings, including catering and IT setup
  • Oversee mail routing, shipping logistics and courier services (e.g., FedEx, UPS, & DHL)
  • Act as the main point of contact for building management, vendors, and office service contractors
  • Handle high sensitive and confidential company, financial, and employee information with extreme discretion
  • Perform projects and other duties as assigned
  • Ensure all office protocols adhere to company data security and privacy policies

QUALIFICATIONS

Education/Training/Experience

  • Minimum of 3+ years of experience in office management, executive assistance, or business operations. (Semiconductor or tech industry experience is highly preferred).
  • Bachelor's degree in business administration, office management preferred, or equivalent combination of education, including trade school and experience.
  • Proven track record of directly handling office administration and other business duties with grace and professionalism
  • Intermediate to advanced proficiency in MS Office Suite (Word, Excel, Pivot Tables, PowerPoint), MS 365, Power Bi or like, cloud storage, and familiar with AI features
  • Help support budget activities
  • Demonstrated experience in business or sales analytics
  • Unwavering integrity and ability to manage confidential data appropriately
  • Exceptional communication skills (oral, written, listing), a proactive "can-do" attitude, and the ability to multitask in a fast-pace environment
  • Demonstrate professional business acumen
  • Possess effective organizational and negotiation skills
