Position Summary:

The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and institution policy.

Duties & Responsibilities:

  • Manages prospect portfolios for Development and Alumni staff.
  • Works closely with database manager to update alumni information within the Advancement CRM database.
  • Responsible for preparing daily backup information for Red Wolves Foundation donations, as well as alumni license plate donations, for data entry by ASU System Foundation.
  • Performs duties for maintaining the database which include, but are not limited to, obituary research, iModules weekly updates, and employment status updates.
  • Responsible for generating, adjusting, printing and mailing donor gift notifications, such as thank you letters.
  • Digital prospect research requires current social media and technology skills including, but not limited to, using LinkedIn, Facebook, Twitter, Instagram, and other social media outlets to identify potential donors and alumni to the Portfolio Manager.
  • Serves as office receptionist and answers telephone.
  • Assists supervisor, Development and Alumni staff with projects or mailings.
  • This position provides back up for gift processing, database management and scholarship awarding, throughout all of Advancement Services.
  • Performs other duties as assigned.

Monday - Friday

8:00 a.m. - 5:00 p.m.

This position works closely with staff from the ASU System Foundation, Alumni Department, Development Office, and the Red Wolves Foundation. Please note that because this position requires extensive work in handling contributions, the university requires a criminal and financial background check be completed before the position can be accepted by the successful candidate.

Minimum Qualifications:

The formal education equivalent of a High School Diploma.

One (1) year of specialized training in business management, business education, or a related field.

Two (2) years of experience in specialized or a related field applicable to work performed.

Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee.
