We are looking for a highly engaging, customer focused individual to join our team as F&B Administrative Assistant. The successful candidate for this role is engaging, full of energy, and is open to learning and leading by example, responds in a professional and courteous manner to guests and team, as well as being there to support the team both personally and professionally.
The F&B Administrative Assistant provides support for the leaders of the hotel/resort and is responsible for variety of duties including, but not limited to: reporting, filing, answering phones, processing invoices, managing schedules and assisting with problem resolution. The Food and Beverage Administrative Assistant will provide ongoing administrative support to members of the Food and Beverage department.
- Assists in all Food & Beverage departmental and interdepartmental communications
- Performs data entry with great attention to detail.
- Attends meetings as required.
- Attends Food and Beverage meetings and take notes of all minutes and upcoming projects and events.
- Assists in menu creation, typing, and editing including all food menus, wine lists, and beverage menus.
- Prints Menu for all outlets and banquets
- Maintains the F&B Menu keeper.
- Assists with monthly inventory.
- Collects all Food and Beverage projects.
- Creates and maintains a master Food and Beverage manager schedule
- Organizes all Guest Satisfaction Feedback and assists with tracking.
- Maintains organization of staff support files.
- Updates and checks Stonewall Resort website on a daily basis for accuracy of information
- Maintains office supplies to F & B needs.
- Retrieves information as requested from records, email, minutes, and other related documents.
- Responds to and resolves administrative inquiries and questions.
- Performs F&B CEO Master copy maintenance and info sharing and accuracy.
- Serves as F&B Finance liaison.
- Maintains master file of F&B Software systems/ software Trainer and keeper of Checkbook.
- Conducts and maintains the F&B inventory cost controller.
- Maintains the F&B Recipes, inventories, & maintenance
- Maintains the record keeping for the Health Department
- Follows all safety procedures to ensure a safe working environment.
- Maintains grooming standards as outlined in employee handbook and departmental training.
- Practices the service communication skills- ensuring Four Diamond Service.
- Performs all duties in a professional manner and in accordance with company policies.
- Provides assistance to other job classifications as determined necessary by immediate supervisor.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
- Must be both guest and team oriented.
- Ensure a clean, safe and orderly work area.
- Flexibility to work a varied schedule due to business levels and industry demand. These may include nights, weekends and holidays.
- Ability to work in a busy atmosphere, meet deadlines, and maintain excellent customer service.
Formal Education and Job-Related Requirements
- High School graduate or equivalent.
- Excellent verbal and written communication skills.
- Excellent computer skills, prefer experience with MICROS and Microsoft programs.
- Professional and polished customer service skills.
- Strong organizational skills
