Job Summary

A healthcare services organization in Brentwood, TN is seeking a polished and highly experienced Senior Executive Assistant to provide high-level support to a Chief Executive Officer. This is a high-visibility Executive Support role for a professional who thrives in a fast-paced, confidential, and complex environment.

The Senior Executive Assistant will serve as a trusted partner to executive leadership, helping manage priorities, communications, schedules, meetings, travel, and follow-up items with accuracy and discretion. Key Responsibilities

Provide high-level administrative and operational support to the CEO, including complex calendar management, meeting coordination, travel planning, correspondence, and follow-up.

Prepare the CEO for meetings, presentations, events, Board-related activities, executive committees, and key stakeholder engagements.

Serve as a professional liaison between the CEO and internal leaders, external partners, Board members, and other high-level stakeholders.

Handle confidential, sensitive, and time-critical information with discretion, sound judgment, and a high level of professionalism.

Help develop and implement processes, procedures, and best practices for Executive Assistant support across the organization.

Partner with other Executive Assistants to improve workflow, communication, scheduling, document management, onboarding, training, and knowledge sharing.

Compensation and Benefits

Compensation: Salary information provided ranges from $68,000 to $93,000 per year, depending on experience.

Schedule: Full-time hours.

Required Qualifications and Skills

Primary duties and projects include:

Provide direct executive administrative support to the CEO.

Manage complex executive calendars, meetings, travel, communications, and follow-up priorities.

Coordinate Board-related activities, executive meetings, leadership communications, and high-level stakeholder interactions.

Improve administrative processes, workflow, scheduling practices, and Executive Assistant support standards.

Required qualifications and skills:

7+ years of progressive executive administrative experience.

Experience directly supporting senior executives or C-suite leadership.

CEO support experience strongly preferred.

Bachelors degree preferred, although additional relevant experience may be considered in place of a degree.

Experience serving as a lead, mentor, trainer, or process resource for other administrative professionals.

Strong calendar management, meeting coordination, travel planning, communication, and follow-through skills.

Advanced proficiency with Microsoft Office and enterprise productivity tools.

Strong organizational, problem-solving, prioritization, and time management abilities.

Ability to manage competing priorities in a fast-paced, high-visibility executive environment.

High level of emotional intelligence, polish, integrity, confidentiality, and professional judgment.

Preferred Qualifications

Experience in healthcare, hospital systems, academic medical centers, government, or other highly regulated environments.

Familiarity with HIPAA, confidentiality, compliance, or regulatory expectations.

Experience supporting Board meetings, executive committees, or senior leadership communications.

Project management, leadership, or executive administration training or certification.

Ability to operate as a true partner to the CEO while proactively improving structure, workflow, and administrative support across a team.
