General Overview/Summary
The Accounting and Office Coordinator plays a key role in ensuring the smooth and efficient operation of our office while maintaining accurate financial records. This position combines hands-on bookkeeping responsibilities including accounts payable and receivable, payroll processing, and monthly reconciliations with office coordination duties that support day-to-day administrative and data management needs. The ideal candidate is detail-oriented, organized, and proactive, with strong proficiency in QuickBooks and Microsoft Excel. This role offers a flexible 25-30-hour work week and the opportunity to contribute meaningfully to a mission-driven agricultural organization.
Accounting Responsibilities
Helps maintain accurate and complete basic financial records, ensuring compliance with accounting principles and standards.
Prepare a monthly Treasurer's report for the Board Treasurer and the CEO.
Conduct bank deposits, tracking, and following up on all accounts receivable.
Collect any past-due accounts.
Perform weekly accounts payable, including interacting with staff, vendors, and CPA; process invoices; complete expense coding; and perform data entry.
Perform monthly bank and credit card reconciliations.
Assist in gathering required documents as backup to expenditures.
Maintain and manage records of invoices and payments between research partners and national check-off boards to ensure timely, accurate payments are distributed.
Assist with preparing audits or review schedules and routinely communicating with auditors.
Provides administrative support for finance-related documentation and tasks, including filing, scanning, and document organization.
Gather all necessary financial reporting to federal, city, and state agencies, as needed. Including but not limited to, Federal Election Commission filings for Political Action Committee.
Maintain and manage insurance coverage and associated records
Recommend management action to improve standard operating procedures.
Recommend and test new office/accounting procedures.
Office & Data Management Responsibilities
Create and maintain databases, including grower assessment data, mailing lists, and contact lists.
Assist in meeting planning.
Coordinate office operations, including equipment maintenance, copier reporting, and ordering office supplies.
Assist with scheduling, registration, and travel plans for the CEO and Board of Directors.
Work with vendors to troubleshoot problems, identify areas for greater efficiency, including any contracts for leased office equipment, and follow through to see that all repairs are completed.
Provide backup support for incoming calls and general inquiries from members, partners, and stakeholders.
Provides administrative support for finance-related documentation and tasks, including filing and document organization.
Job Qualifications
Associate's degree in accounting (or an equivalent field) with at least 2-3 years' accounting operations experience.
Good knowledge of standard accounting practices.
Working knowledge of QuickBooks Online and Microsoft Office software is required.
Must possess a keen attention to detail and a commitment to high-quality work.
Solid communication (both verbal and written) skills.
A valid driver's license and their own automobile for in-state travel.
Excellent organizational and follow-through skills and the ability to multitask, prioritize, and work under deadlines.
Ability to maintain strict confidentiality and communicate professionally.
Ability to deal effectively with a variety of people and work in a team environment.
Ability to learn quickly and willingness to leverage new technology to streamline bookkeeping procedures.
Attention to detail and accuracy of work.
Pay: $20.00 - $25.00 per hour
Expected hours: No more than 30 per week
