The Plant Operations & Office Manager serves as a key operational support partner to site leadership, providing integrated oversight of office administration, finance and accounting support, employee engagement activities, and manufacturing site reporting. This role ensures the plant operates efficiently from an administrative, financial, and people experience standpoint while maintaining accurate data, compliance, and professional standards across the site.
This position requires strong organizational skills, attention to detail, discretion with sensitive information, and the ability to work effectively in a fast paced manufacturing environment.
Key Responsibilities
Office Management & Administrative Operations
Serve as the primary administrative point of contact for the manufacturing site, including reception, visitor coordination, and general office operations
Manage office supplies, service vendors, and administrative processes to ensure smooth day to day operations
Coordinate site communications, postings, and administrative workflows across departments
Maintain organized records, files, and documentation in accordance with company and regulatory requirements
Finance & Accounting Support
Provide support for accounts payable, invoicing, and expense processing, including coordination with corporate finance teams
Support inventory administration, purchase order tracking, and reconciliation activities
Prepare and maintain financial and operational spreadsheets, reports, and summaries for plant leadership
Ensure compliance with internal controls, documentation standards, and audit requirements as applicable
Manufacturing Site Reporting, Cost Control & Data Integrity
Serve as a primary owner of plant level cost control reporting, ensuring accurate, timely, and decision ready production, cost, and sales data
Enter and reconcile operational data impacting cost and margin, including outsourced production activity, finished goods, and job standards
Prepare and analyze cost sheet reviews, board variance corrections, waste reports, and OEE/sales reports, highlighting cost drivers, inefficiencies, and opportunities for improvement
Generate and maintain maintenance, production, and performance reporting to support labor, material, and overhead cost management
Lead monthly WIP organization and inventory reconciliation, ensuring accurate valuation, verifying coating inventory and raw material usage, and preparing controller worksheets
Maintain strict data integrity across production, labor, inventory, and cost systems to support accurate financial reporting and internal controls
Partner closely with operations, maintenance, and finance leadership to identify cost variances, resolve discrepancies, and support corrective actions
Employee Engagement & Site Culture Support
Coordinate employee engagement initiatives, recognition programs, and site events
Support onboarding and offboarding logistics, including new hire orientation coordination and documentation
Assist with employee communications, postings, and engagement activities that reinforce site culture and values
Partner with HR and site leadership to support engagement surveys, action plans, and employee communications
Compliance, Coordination & Continuous Improvement
Maintain confidentiality of employee, financial, and operational information
Support audits, inspections, and internal reviews by providing documentation and administrative coordination
Identify opportunities to streamline administrative, reporting, and finance support processes
Provide general administrative and operational support as needed to meet site and business needs
Qualifications & Experience
Required
High school diploma or equivalent
35 years of experience in an office management, administrative, finance support, or plant administrative role, preferably in a manufacturing environment
Strong proficiency in Microsoft Excel and other Microsoft Office applications
Experience handling financial data, reports, or accounting support activities
Strong organizational skills with a high level of accuracy and attention to detail
Preferred
- Experience supporting manufacturing or operations leadership
- A ssociate degree or coursework in business, accounting, or administration preferred
- Familiarity with ERP systems, production reporting tools, or plant level financial reporting
- Experience coordinating employee engagement activities or site events
- Understanding of basic accounting principles and internal controls
