SummaryPOSITION SUMMARY
The AR Office Assistant is responsible for providing administrative assistance to the AR department. The position requires attention to detail and effective collaboration with other team members to ensure smooth and accurate billing operations.
ESSENTIAL RESPONSIBILITIES AND DUTIES
Is an Integral part of the corporate billing team to ensure efficient and accurate billing operations for all skilled nursing and assisted living facilities
Accurately deposits check payments, including refund checks, maintaining and routing necessary documentation.
Processes and distributes bank statements.
Manages and processes all ACH and credit card withdrawals for assigned facilities.
Completes or assists with billing for Meals on Wheels (MOW), ensuring follow-up.
Completes or assists with billing for vaccines, ensuring follow-up.
Compiles information for year-end audits timely and efficiently.
Processes Certificates of Rent Paid (CRPs) by deadline at end of each year.
Completes credentialing paperwork.
Assists with cash posting and reconciliation as assigned.
Helps organize and plan on and off-site meetings and trainings, including finding suitable locations and ordering necessary food or materials.
Provides essential administrative support and maintenance of office operations, ensuring a smooth and efficient work environment
Works with vendors for services such as phone, internet and printing.
Updates schedules for office housekeeping and other administrative tasks.
Assists with new employee setup.
Monitors and orders office supplies as needed.
Sorts and distributes incoming mail.
Reviews and communicates Monarch Points.
Assists with updating and organizing the electronic AR billing folder, policies, and procedures.
Travels off site to local bank, post office, etc., as needs arise.
Assists with other office duties as directed.
Promotes and Establishes Healthy Relationships and Uses Professional Conduct with Supervisors, Other Healthcare Professionals, Residents, Families, Visitors, and Co-Workers
Arrives at work area on time and ready to begin work. Can prioritize and be organized and efficient when interacting and communication.
Follows policy on absenteeism, tardiness, and call-ins as outlined in the Employee Handbook.
Follows dress code and limits personal phone calls.
Is courteous and cooperative with residents, families, visitors, supervisors, and co-workers.

Answers phones professionally, directs calls expediently, greets visitors and provides directions as needed.
Maintains Current Levels of Education and Facilitate the Implementation of New Policies and Procedures with the Facility
Attends or completes assigned continuing education, in-services, and online training.
Maintains and applies knowledge of current policies and procedures as outlined by Monarch Healthcare Management.
Is knowledgeable of and abides by the importance of the Residents Bill of Rights.
QUALIFICATIONS
Required
- High school diploma or equivalent
Preferred
Associate's degree or relevant certification(s)
Experience in administrative, billing or accounting roles
Knowledge of healthcare billing or experience with long-term care facilities
Familiarity with ACH, credit card transactions, and other financial processes
Required Skills and Abilities
Proficient in basic bookkeeping skills.
Familiar with office equipment and proficient computer skills
Strong attention to detail and the ability to work efficiently and independently.
Excellent communication skills.
Able to perform essential functions of the position with or without reasonable accommodation.
Must qualify for employment, after criminal background check, according to guidelines of the Minnesota Department of Human Services.
