TITLE: Volunteer & Data Specialist

EMPLOYMENT STATUS: Hourly, non-exempt. Part-time (20 hours per week). Possibility for increased hours in the future. Occasional weekend events and evenings (1 per month).

HOURS: Required Sunday or Monday; flexible Tuesday through Saturday. Eligible for hybrid work. Scheduling a combination of in-office, hybrid/remote, and outdoor work will be determined with the Volunteer & Outreach Program Manager.

PAY RATE: Hourly rate set at $26.50/hr. Sick time accrued at a rate of 1 hour for every 20 hours worked and holidays accrued on a prorated basis (approximately 5.5 per year). Not eligible for paid vacation. Access to a retirement plan with a 2% employer match. The organization will be closed during the final week of December.

LOCATION: Friends of Trees Portland office at 3117 NE MLK Jr. Blvd, Portland, OR 97212. Stairs required to access the office. Travel throughout the Portland-Vancouver metro region with FOT vehicles.

JOB SUMMARY

The Volunteer & Data Specialist ensures effective volunteer engagement by maintaining accurate data, reliable data systems, and operational support. Success in this role looks like highly accurate volunteer data entry, reliable and user-friendly systems, and well-coordinated volunteer operations that support a high-quality volunteer experience and strong program delivery.

DESCRIPTION OF ESSENTIAL FUNCTIONS

  • Serve as the primary day-to-day user of Salesforce for volunteer data management: maintaining volunteer data and records, and ensuring data integrity for reporting, evaluation, and organizational decision-making

  • Build, maintain, and improve volunteer program systems, including event registration, calendars, and workflows

  • Coordinate core volunteer logistics such as sign-ups, waivers, attendance tracking, targeted outreach, and maintaining accurate online content

  • Data Management & Quality Assurance

  • Enter, update, and maintain accurate volunteer data in Salesforce

  • Maintain organized and accessible digital records, including event photo documentation

  • Ensure complete and accurate volunteer data for reporting and evaluation

Systems Implementation and Support

  • Build, maintain, and support the integrity of volunteer systems, including event calendar, volunteer registration infrastructure, and related tools
  • Document systems, workflows, and procedures
  • Troubleshoot routine system issues and escalate more complex issues to Volunteer & Outreach Program Manager
  • Identify and work towards system improvements in collaboration with Volunteer & Outreach Program Manager, including but not limited to event calendar, email templates, and volunteer waiver system

Volunteer Operations Coordination

  • Manage volunteer waivers and compliance-related documentation
  • Coordinate with the VOP Team to pull appropriate lists from Salesforce for priority recruitment by geography, volunteer role, etc
  • Send timely and appreciative volunteer event thank you emails
  • Maintain engaging and accurate webpages related to volunteering
  • Lead volunteer recruitment and communication for 2-3 events monthly during planting season (Oct-April)

General Tasks

  • Attend expected FOT trainings, staff meetings, and retreats
  • Actively support the advancement of justice, equity, diversity, and inclusion efforts at FOT
  • Help implement FOT's Strategic Values and incorporates these values throughout their work
  • Follow organizational guidelines to keep office workspace, tools, lots and work vehicles in good condition
  • Contribute content for TreeMail and FOT social media channels, as needed
  • Adhere to FOT's safety protocols and upholds a safe working environment
  • Submit accurate weekly records of time and expenses
  • Other duties as assigned

REQUIRED SKILLS AND EXPERIENCE:

  • Strong attention to detail and accuracy
  • Experience with data entry and database systems
  • Ability to follow established processes and workflows
  • Ability to manage multiple tasks and deadlines
  • Comfort working with technology platforms and systems
  • Strong organizational and time management skills

PREFERRED SKILLS AND EXPERIENCE

  • Experience with Salesforce or similar CRM system
  • Experience with WordPress or similar webpage tool
  • Experience with FormAssembly or similar form generation tool
  • Familiarity with data tracking and reporting practices

PHYSICAL REQUIREMENTS

  • Ability to perform primarily computer-based work
  • Occasional lifting of materials up to 25 lbs may be required
