Job Title: Relative Search and Engagement Administrative Assistant 1 (AA1) - Full-time/Permanent.
Location: Olympia, WA. This is a hybrid position that performs work in the office and virtually. While the assigned office and team is located in Olympia, WA (1500 Jefferson), your official duty station could be determined based on the nearest DCYF Office location to you. Travel for training, attending meetings, and conferences may be necessary.

The Department of Children, Youth, and Families (DCYF) is seeking a Relative Search and Engagement Administrative Assistant 1 (AA1). The incumbent in this position will perform a variety of routine administrative duties, recurring tasks, and clerical projects for Relative Search and Engagement within Child Welfare Programs & Practice. The Opportunity:
Within DCYF, this detail-oriented position provides administrative and technical support to Social Service Specialists, Social and Health Program Consultants, supervisors, community partners, and members of the public. This position will assist in a variety of tasks, which have a strict timeline for processing. This position exercises specialized knowledge of DCYF programs and requirements, and exercises independent judgment in resolving written communication and clerical issues with discretion. This position will need to learn many different tasks and ensure all tasks are processed correctly without mistakes. The work environment is fast-paced, high-stress, and detail-oriented. Multi-tasking, managing work priorities, meeting deadlines, and covering for other positions in the unit are required.
Some of what you'll do:
Perform skilled and timely clerical duties.
Process Relative Search and Engagement Referrals.
Process incoming correspondence to the appropriate staff and DCYF offices.
Scan and sort mail to the identified clerical team member.
Review cases monthly for timely closure and accuracy.
Record and enter relative search responses in Famlink.
Regularly review the communication log and ensure accurate documentation.
Data entry for background checks and other programs.
Provide internal and external customer service to a diverse population, primarily to potential relatives.
Communicate verbally and in writing with customers, answer inquiries, and provide information.
Monitor and manage inventory and process purchasing for the Relative Search and Engagement Team.
Track and maintain invoices.
Apply knowledge of various DCYF regulations, rules, policies, and procedures daily.
Keep informed of team details and advise the supervisor should problems arise.
Create, edit, and review correspondence.
Provide back-up coverage to other Administrative or Office Assistants.
Attend staff and unit meetings.
Required Qualifications:
High school diploma (or GED) and one year of office experience requiring keyboarding or typing.
OR
Equivalent education and experience totaling one year of office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
AND
The ability to take action to learn and grow.
The ability to take action to meet the needs of others.
Preferred/Desired Qualifications:
Previous experience with or demonstrative ability to:
Operate a computer, keyboard, and use Microsoft Office products.
Draft, edit, and send electronic correspondence.
Navigate internet browsers and conduct research.
Edit, proofread, and draft memos and other forms of written documents.
Prioritize multiple assignments in an office environment.
Effectively communicate with management, peers, clients, and the public.
Work effectively in a diverse and fast-paced environment.
Process high levels of customer service skills.
Handle inquiries and complaints promptly and professionally.
Maintain confidentiality in all aspects of the job.
