Qualifications:
Minimum of 3 year(s) of experience in Designing Scientific Literature ReviewStrategic and Acquisition; Data Extraction and Summary Demonstrated technicalwriting/communication skills, Demonstrated project management skills; andProficiency in the Microsoft Office Suite OR HS/GED Degree in Library Science,Business Management, General Studies
Experience required with Windows, MS Word, MS Excel, MS PowerPoint, CopyingMachine, Multiple Phone Lines, ScannerDuties:
This individual will provide high-level, professional support to two branches inthe Office of Chemical Safety and Pollution Prevention (OCSPP).
Provide independent, high level support to the Branch Chiefs includingcoordinating and scheduling Branch meetings and managing calendars. Prepare formeetings by creating Excel spreadsheets, providing briefing materials, andtechnically edit PowerPoint presentations and other Microsoft documents whenneeded. Ensure specific equipment is ready for meetings. Manage travel andaccommodations for meetings, conferences, transportation (airline and ground),and hotels, for the Branch Chiefs and staff. Prepare travel authorizations andvouchers in automated system 30%Manage conference room calendars, assisting staff in reserving rooms viaemail and in person. Welcomes guests and internal/external customers by greetingthem in person or on the telephone and responds to inquiries. 20%Processing and oversight of Official Records Documents and support ofRecords Management Tasks (inventory and disposition). 15%Deals with a wide variety of situations requiring a high degree of tact,maturity and sensitivity. Ability to properly handle information/documentationcontaining sensitive and/or confidential data (transporting and/or copyingmaterials related to human resources matters). 10%Independently determine office supply needs based on inventory of suppliesand staff requests. Consolidate, run a cost comparison, and then prepare supplyrequests for the division for approval; Acts as the lead in the distribution andstorage of supplies. Conduct inventory periodically. 10%Receive, sorts and distributes incoming mail for the office. Receivetelephone calls, refer callers and visitors to the appropriate party, andprovide information directly to maximum extent possible. 5%Information Management - Understands the principles of Systematics Reviewand assists Division Technical Teams (Tech Teams) in conducting literaturesearches for data and research studies using criteria provided by TechnicalTeams. Assists Assessment Leads (and their respective team members) increating/updating reference lists for Toxic Substances Control Act (TSCA) WorkPlan Chemical Assessment documents using Endnote (or similar software.) Assiststhe Branches in maintaining web presence (internal and external) by uploadinginformation to Division Share Point site; gathers data/documents from staff forupdating the Divisions? presence on external websites. Knowledge of libraryscience preferred. 5%Miscellaneous - Conducts research and gathers data and materials for specialprojects initiated by the Health and Effects Division?s and the Risk AssessmentDivision?s Immediate Offices. 5%
