Job Summary

The Executive Assistant Dean (EAD) is the chief administrative and financial officer for the College of Engineering. The position serves as a principal member of the Dean for the College of Engineering (COE) leadership team. The incumbent provides leadership, guidance, and oversight, through subordinate managers and supervisors, for all business and financial functions required for effective business operations of the college. The EAD is responsible for administration of the complex and extensive business affairs of the college, provides leadership and has direct responsibility for strategic planning, administrative and financial management, research administration, personnel management, information technology, compliance, and risk management for an annual estimated $200M budget. The EAD participates at the campus level on HR, finance, research administration, information technology, and compliance initiatives, and interfaces with department/unit management regularly to communicate college-wide and campus initiatives, resolve issues, foster integrated collaborations among departments and units and oversee administrative practices. Reporting directly to the Dean, the EAD works collaboratively inside the college with its academic departments, research centers and institutes, dean's office units, and colleagues across campus and across the UC system to ensure alignment of college resources with the academic mission of UC Davis and strategic vision of the college. The Executive Assistant Dean is a member of the dean's leadership team and works collaboratively with the associate deans, other assistant deans, unit directors, and managers in the college.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

Master's degree or equivalent experience in Business Administration or similar field.

A minimum of ten years of high-level administrative experience within a large and complex environment, preferably, but not necessarily, at a public institution of higher education.

Experience and proven track record as an effective leader in the areas of human resources management, budget and financial management, facilities planning, administration and technology management.

Experience in financial forecasting and in the development and use of sophisticated tools and financial models to monitor funds, make projections, and design management reports.

Interpersonal and communication skills to establish and maintain the formal and informal communication networks and relationships needed to successfully interact with diverse groups and individuals.

Skills to analyze complex information or problems in an objective manner and derive logical conclusions to provide a sound basis for establishing priorities and selecting appropriate courses of action including the ability to identify, secure and/or provide information to clarify situations, resolve problems and communicate policy decisions.

Strategic planning and project management, analytical and program evaluation skills to take complex, significant projects from conception to completion while staying within the constraints of budget and timeline.

Team building skills to effectively recruit, train, evaluate, motivate, resolve problems/conflicts, conduct performance management, and build an effective service-oriented, team environment.

Department Overview

The COE includes eight academic departments, 10 centers/research facilities, and 11 dean's office units with roughly 220 faculty members, 250 staff members, non-faculty academics, and other personnel, 6,300 graduate and undergraduate students, 13 undergraduate majors, 11 graduate programs, and an approximately $200M annual portfolio (including sponsored projects). There are approximately 400,000 square feet of research, teaching, and administrative space assigned to the college across multiple sites including main campus, west campus, health campus (including Aggie Square), Spafford, and Lawrence Livermore National Lab.
