Position Level 5 Working Hours and/or Working Conditions Work 40 hours per week. The current operation is Monday and Tuesday 9am-6pm and Wednesdays, Thursdays, and Fridays 8am-5pm - determined by the Unit Administrator. May include evenings and occasional weekend hours. Hybrid schedule may be available following probationary period and depending on student needs and program operations. Campus assignment may vary. Some travel between campuses and to off campus locations as required. Knowledge, Skills and Abilities Highest level of organization and accuracy required. May handle information regarding guarded access, including but not limited to student applications/records, personal student information, personnel files, etc. Must be able to deal with multiple tasks at one time. Ability to work collaboratively with other departments of the college to ensure that specific objectives of the Student Services Unit are met. Supervision Supervision Received: Reports to the Director of Admissions & Outreach. Takes day-to-day direction from the Systems Manager, Admissions & Outreach. Supervision Given: May direct part-time employees or work studies as assigned. Description Benefits Questions Job Function Independently performs and coordinates a wide variety of duties that require analyzing facts and making minor operational decisions on a wide range of existing standards, processes and procedures in the Office of Admissions & Outreach. Job Responsibilities Be intuitive to the feelings and interests of a diverse population of students and sta?. Contribute to an enthusiastic and supportive environment that encourages student success. Will be expected to use Microsoft O ? ce 365 programs. Additionally, will be expected to know or learn and use other software packages utilized within the department. Regularly makes operating decisions and determines actions involving complex situations. Process applications and assist students through all areas of the admissions funnel. Assist with all aspects of student's records which may include student updates, registration in credit and non-credit systems and processing student information as directed. Participate in the development of long- and short-range departmental goals, plans, and policies, as well as strategic planning. Serve on college committees as assigned. Perform related duties as assigned. Processing: Process, compile and maintain prospect information, admission applications, supporting documents, reports and records of the activities relating to the Office of Admissions & Outreach. Review all submitted documents for accuracy and completeness to verify they meet admissions policy and guidelines. Request, analyze and verify ID, residency, and other documents for accuracy or fraudulent activity. Analyze and recognize specific patterns that become red flags for fraud. Empowered to close applications upon suspicion of fraudulent activity. Review all supplemental documents for accuracy and completeness to verify they meet admissions policy and guidelines. Review Colleague to determine records accuracy between Colleague and Recruit and update student information in the system of record as needed. Process applications and supporting documentation; perform problem/resolution when necessary. Process and review applications on demand for event days, which may include travel to Center campus; this also includes supporting coordinators during field high school application days. Clean up data in the application system to ensure accuracy (merging duplicate records, withdrawing duplicate opportunities, ). Provide input and feedback on day-to-day procedures/processes as it relates to application processing. General Administrative/Office: Provide front-line lobby, email, and telephone service (ACD line) assistance regarding admissions and enrollment to students, staff, or the public and resolve student complaints where empowered to do so. As needed, respond to all emails that are directed to Admissions & Outreach (in ... and ...) and resolve any issues within one business day of receipt of email. Assist students concerning applications, registration, and logins to all our student facing systems or issues with personal information on the application. Coordinate and support office activities, personnel, programs, events, and project proposals. Assist with special projects as needed, ensuring smooth execution and collaboration across teams. Will be expected to learn and to run selected reports from Recruit or Ellucian/Colleague as directed. Perform responsibilities with limited supervision. Be proficient with the operation of standard office machines. Education High school diploma or higher preferred. Qualifications ASP Level 5 Assessment Test or higher. Four years of related experience.
